Operations Coordinator

Position Summary

Saint Elizabeth Ann Seton Catholic School (SEASCS), a ministry of Saint Elizabeth Ann Seton Catholic Church and the Archdiocese of Galveston-Houston, seeks a mission-driven and highly organized Operations Coordinator to oversee the day-to-day operational functions of the school. The Operations Coordinator supports the Principal by ensuring efficient management of facilities, safety, technology, transportation, vendor relationships, operational budgets, compliance requirements, and administrative processes.

The Operations Manager will support and advance the Catholic Mission and Vision of Saint Elizabeth Ann Seton Catholic School and the Archdiocese of Galveston-Houston by fostering a safe, welcoming, efficient, and faith-filled environment that promotes academic success, spiritual formation, and responsible stewardship.

Essential Duties and Responsibilities

Operational Leadership

  • Direct and oversee daily school operations.
  • Develop and maintain efficient operational systems and procedures.
  • Coordinate operational planning to support school programs and events.
  • Ensure smooth coordination among administrative, academic, parish, and facilities departments.
  • Assist the Principal in implementing strategic initiatives and operational goals.

Facilities Management

  • Oversee maintenance, repairs, and custodial services.
  • Coordinate facility usage, inspections, and preventative maintenance programs.
  • Monitor campus cleanliness, security, and functionality.
  • Manage vendor relationships and service contracts.
  • Assist with planning and execution of campus improvement projects.

Safety, Security, and Compliance

  • Maintain compliance with Archdiocesan policies, TCCB ED requirements, and applicable local, state, and federal regulations.
  • Coordinate emergency preparedness plans and campus safety drills.
  • Serve as a liaison with parish facilities staff, emergency responders, and outside agencies.
  • Ensure proper documentation of safety procedures and incident reporting.
  • Assist in maintaining risk management and insurance requirements.

Financial and Operational Stewardship

  • Assist with operational budgeting and expenditure tracking.
  • Monitor operational contracts and purchasing processes.
  • Obtain vendor quotes and manage procurement activities.
  • Support long-term planning for facilities, equipment, and technology.
  • Ensure responsible stewardship of school resources in accordance with Catholic values.

Technology and Infrastructure

  • Coordinate technology support services and infrastructure needs.
  • Work with technology vendors and consultants.
  • Assist with inventory management of school technology assets.
  • Support the implementation of educational and operational technology initiatives.

Human Resources Support

  • Coordinate employee onboarding related to operational requirements.
  • Maintain operational records and compliance documentation.
  • Assist with employee safety training and required certifications.
  • Support recruitment logistics and operational aspects of staffing.

School Events and Community Support

  • Coordinate logistics for major school events, parish-school activities, open houses, graduations, fundraising events, and family engagement programs.
  • Support faculty and staff by ensuring operational needs are met.
  • Collaborate with parish leadership to strengthen school-parish relationships.

Mission Integration Responsibilities

The Operations Coordinator shall:

  • Demonstrate and model Catholic Christian values in word and action.
  • Support the Catholic identity of the school.
  • Participate in faculty faith formation opportunities and school liturgical celebrations.
  • Foster a culture of hospitality, service, stewardship, and respect.

Qualifications

Education

  • Bachelor's degree in Business Administration, Operations Management, Educational Leadership, Facilities Management, or a related field preferred.
  • Equivalent professional experience may be considered.

Experience

  • Minimum of 35 years of operations, facilities, project management, or administrative leadership experience.
  • Experience in a school, parish, non-profit, or faith-based organization preferred.
  • Experience managing budgets, vendors, and operational systems.

Knowledge and Skills

  • Strong organizational and project management abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities effectively.
  • Knowledge of facilities, safety, risk management, and operational best practices.
  • Proficiency in Microsoft Office 365 and school management systems.

Physical Requirements

  • Ability to move throughout the campus regularly.
