Job description

We are seeking an experienced Events Manager to join our Marketing Operations & Communications team and lead the planning, execution, and continuous improvement of European events in the medical device industry. This role owns the end-to-end delivery of congresses, trade shows, internal sales meetings, advisory boards, and HCP-facing engagements across the region, ensuring every event is executed to the highest standard, on budget, and fully compliant with industry regulations.

You will work closely with Marketing, Sales, Medical Affairs, Compliance, Legal, Finance and external partners (agencies, venues, congress organizers) to bring our brand and clinical story to life at every touchpoint. This is a hands‑on, highly organized role for someone who thrives in a fast‑paced, regulated environment and enjoys owning projects from strategy through to post‑event reporting.

Duties & Responsibilities

Own the planning and execution of European medical congresses, trade shows, symposia, advisory boards and other meetings, from concept through post‑event evaluation.

Manage event budgets, negotiate vendor and agency contracts (booth design, AV, logistics, travel, registration platforms), and ensure cost‑effective, high‑quality delivery.

Ensure all events involving healthcare professionals comply with applicable industry codes of conduct (e.g. MedTech Europe Code of Ethical Business Practice), transparency/aggregate spend reporting requirements, and internal compliance policies, partnering closely with Medical Affairs, Compliance and Legal.

Manage end‑to‑end logistics for congress presence, including booth design and build, exhibitor registration, speaker and faculty coordination, travel and accommodation, and on‑site staffing.

Lead relationships with external agencies, congress organizers and vendors, including briefing, contracting, quality control and on‑site management.

Standardize and continuously improve event‑related processes, timelines, templates and documentation to drive consistency and efficiency across the region.

Support brand communication across countries and customer touchpoints, including local market engagements.

Track event budgets, process invoices and maintain accurate financial records across all events.

Define and track event KPIs (attendance, lead generation, engagement, ROI); collect and analyze post‑event data to inform future planning and report results to stakeholders.

Maintain accurate records of event and marketing materials in the document control system, ensuring compliance with internal review and approval processes.

Collaborate cross‑functionally to resolve operational bottlenecks, anticipate stakeholder needs and proactively improve event efficiency and impact.

Minimum Experience and Preferred Qualifications

Bachelor's degree in Marketing, Communications, Business, or a related field. Master preferred.

5+ years of experience in event management within the medical device or broader healthcare industry.

Fluency in English is required; German, French, or other European languages are a strong asset.

Demonstrated experience managing congresses, trade shows or large‑scale B2B events, including budget ownership and vendor/agency negotiation.

Working knowledge of HCP interaction regulations and industry codes of conduct, or strong willingness to develop this expertise.

Experience working cross‑functionally with Marketing, Sales, Medical Affairs, Compliance and external stakeholders in a regulated environment.

Proficiency in Microsoft Office, event management platforms (e.g. Cvent or similar), and marketing/procurement software (e.g. CRM, COUPA).

Proficiency in document control and asset management systems, such as Microsoft SharePoint and Oracle Agile PLM.

Excellent organizational and project management skills, with strong attention to detail and the ability to manage multiple events and priorities simultaneously.

Proactive, structured and solution‑oriented mindset, a passion for event management, and strong communication and stakeholder management skills.

Willingness to travel across Europe as required for on‑site event execution.

Experience with graphic design software (e.g. Adobe Creative Suite) is a plus.

Ability to work independently and lead cross‑functional teams in a fast‑paced, dynamic environment.
