Summary of Position
Ensures the daily function of operations and services related to auxiliary income and events within the Division of Intercollegiate Athletics. Works under general supervision and may make some work procedural decisions which do not contravene policies; generally, determines work sequences (which task comes first) within any applicable guidelines. Exercises professional judgment to prioritize competing demands and allocate resources effectively to meet departmental goals. Serves as a subject matter expert and resource person for the assigned area.
Position Information
Essential Functions and Responsibilities: Supervises employees; evaluates staffing needs; assigns and reviews work; establishes timeframes for the completion of tasks; trains and orients new employees; approves and/or disapproves requests for leaves; interviews candidates for employment and recommends for hire; evaluates work performance; receives and responds to grievances; provides assistance with the development of unit work procedures and policies; recommends and provides staff development opportunities.
Processes reports, reconciles receipts, and verifies income for all events. Responsible for training any YSU staff, students, and/or student-athletes on devices utilized.
Manages all Penguin Club processing of memberships and events as well as doing the deposit. Manages all aspects of the Penguin Club loge. Assists in Penguin Club sales as it pertains to membership and events.
Responsible for all aspects of YSU's Athletic Hall of Fame, including event planning and preparation, inductee correspondence, managing the invitation process, budgeting, expense tracking, ordering awards and all other event planning processes. Engages with YSU's Athletic Hall of Fame Committee.
Processes payments for designated income using electronic system for membership sales, ticket sales, event registration, sport custodial accounts, sponsorship components, advertising, auxiliary events, reporting, etc.
Organizes and coordinates renewal activities for all assigned memberships through material distribution and face-to-face solicitation. Organizes and coordinates all assigned donor recognition.
Assists with and answers questions regarding any income related items as processed in the system and deposited to appropriate accounts.
Manages the planning, direction, and expansion of the athletic income operations area including, but not limited to creating new strategies for membership or event expansion and retention of customers, with emphasis on increasing revenue and event attendance.
Assists assigned areas with the development of e-mails, social media postings, and other marketing and promotion strategies.
Assists in the creation of on-line giving opportunities and webpages through prescribed systems. Maintains system databases and customer relations by updating personal data on individuals and businesses.
Generates mailing and e-mail lists for mailings and contact with supporters. Works with campus constituents to get mailing and e-mail lists from university systems.
Provides income and related reporting on membership and events as needed. Prepares check requests for supervisor's approval on refunds, and to transfer money from Penguin Club to YSU and vice versa for checks that were written to incorrect area.
Processes ticket orders for auxiliary events that may be tied to ticketed athletic events such as basketball or football games. Evaluates and solves problems related to the fund development side of the ticketing system; escalates as necessary. Creates and designs new forms. Helps as required for events. Creates lists and works with ticketing team regarding seating and processing of game tickets as related to a patron's appropriate membership level.
Sets up Fund Development events to process income for all assigned events. Provides registration information for auxiliary events as assigned. Prepares lists for coaches to provide them with needed information for events and/or restricted/fundraising accounts.
Orders supplies as needed. Assists with operational office activities as assigned. Assists in all mailings, typing letters, and monitoring student employees' activities. Assists with game day operations for football and basketball. Receives and responsibly responds to phone calls and other inquiries.
Other Functions and Responsibilities: Assists with training new hires.
Performs other duties as assigned and/or required that are within the level of responsibility for this classification at the discretion of the supervisor.
Equipment Operated: Computer and all other standard office equipment.
Work Schedule: Typically, Monday through Friday; available to work evening and weekend hours as needed.

Supervision Exercised: Supervision is exercised over staff and students.

Qualifications and Competencies
Required Certifications, Training, and/or Licensures: Valid driver's license.

Minimum Qualifications: At least a bachelor's degree and three years of experience in college athletics or another related field.
Preferred Qualifications: At least two years of use of tickets.com or another similarly situated athletic ticketing system.
Physical Requirements: In accordance with the U.S. Department of Labor physical demands strength ratings, this position will perform light work.
Light: work involves exerting up to 20 pounds of force occasionally, or up to 10 pounds of force frequently, or a negligible amount of force constantly to move objects, requiring: (1) walking or standing to a significant degree; (2) sitting most of the time while pushing or pulling arm or leg controls; or (3) working at a production rate pace while constantly pushing or pulling materials even though the weight or the materials is negligible. (The constant stress and strain of maintaining a production rate pace, especially in an industrial setting, can be and is physically demanding of a worker even though the amount of force exerted is negligible.)
