Summary
Under the supervision of the Vice President of Marketing & Communications, this position is responsible for the planning and strategy for events hosted or sponsored by Marsh McLennan Agency (MMA) and its colleagues, with the goal of building business development and increasing brand engagement and awareness. Responsibilities include managing event budgets, vendor relationships, and supporting marketing and communications deliverables. Additional responsibilities include managing MMA West's Sponsorships and strategic partnerships. This role oversees the Event & Marketing team and collaborates closely with department managers and regional leadership to support other general communications initiatives as needed.
Essential Duties & Responsibilities
  • EVENTS: Manage and plan all aspects of events and trade show participation for the west region.
    • Working with MarComm Event team members, division heads and other internal departments, proactively set strategy for all of MMA's larger events representing investments of over $10,000 (including but not limited to: annual meetings & events, Foundation fundraising events, significant sponsorships, and retreats)
    • Develop and maintain budgets for all large events, including post-event reports demonstrating actual spending and fundraising. Working with MarComm VP and leadership, determine the cost efficiency of both internal and external events.
    • Research vendors, venues and events through online inquiries, onsite tours and event attendance.
    • Negotiate proposals, contracts and hotel agreements with venues and vendors. Research and implement new event opportunities to support business development, raise funds (Foundation events), increase attendance and gain brand awareness.
    • Manage all communication with outside companies and vendors, internal staff and producers, event sponsors and attendees regarding events.
    • Oversee the logistics and registration for all large events, managing a database of sponsors, attendees and donors.
    • Develop and manage event promotion and internal communications surrounding events.
    • Coordinate onsite support for company events including serving as strategist, assisting with logistical set up and breakdown and moderating, swag set up or distribution as needed.
  • SPONSORSHIP & PARTNERSHIPS:
    • Oversees the relationships and commitments to MMA's strategic partners.
  • Provide creative support to the Marketing & Communications (MarComm) team through the design and/or update of marketing brochures, flyers, invitations, informational documents, etc.
    • Meet with key stakeholders to identify goals, timing, budget and content for marketing collateral or campaigns
    • Work closely with graphic design team in the production of marketing materials
  • Supervise marketing budget recordkeeping (performed by Communications Events Coordinator)
    • Collaborate with MarComm Director and division leaders on identifying areas of investment opportunity, relevant ROI, and unspent allocations
  • Assist with other projects and duties as assigned by MarComm VP and provide additional support to the MarComm team as requested.
  • Supervise, direct, and develop the skills, knowledge and abilities of Event & Marketing Team:
    • Direct Reports: (2) Event Specialists and (1) Marketing Coordinator
    • Evaluate performance and provide ongoing constructive feedback and coaching regarding achievement of goals and skills need to be successful in the position.
    • Help associates address and resolve a wide variety of concerns which typically involve job duties, performance standards, and relations with coworkers. With assistance and guidance from the MarComm Director, as well as those with the Human Resources department, address performance problems through the use of coaching, development of performance improvement plans, documentation of progress and taking of disciplinary action.
    • If needed, work with Human Resources and others within the department for recruitment, screening and interviewing of candidates to select the best-qualified candidates for openings within the team.

Education and/or Experience
Successful candidate will be an outgoing, creative, detail-oriented individual with high personal standards and a hands-on work style. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions.
This position interacts with and provides service to a large group of internal associates and has high levels of contact with external vendors and clients. The Events & Communications Manager must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required:
  • Successful work history to include 5+ years of experience in a professional office setting directly related to job responsibilities specified above, with progressively greater responsibility for making strategic decisions and judgments.
  • Bachelor's degree, preferably in Communications.
  • People management experience.
  • Proficiency with personal computers and Microsoft Office applications (i.e., Word, Excel and PowerPoint) with the ability to operate standard office equipment.
  • Strong writing skills, with the ability to translate complex business topics into concise and digestible advertising copy or marketing content.
  • Skill in organizing resources and establishing priorities.
  • Demonstrated ability to resolve problems and present results neatly, with clarity and precision in oral and written form.
  • Ability to exercise independent judgment and initiative within established guidelines.
  • Demonstrated ability to develop, plan, and implement short- and long-range goals.
  • Maintain a valid Driver's License & have reliable transportation.

Work Environment & Physical Demands
  • Ability to use computer keyboard and sit in a stationary position for extended periods.
  • Work is performed in a typical interior/office work environment.
  • This position requires the ability to stoop and bend regularly, and lift up to 25 lbs.
  • 15-20% travel may be required. Travel consists of 2-4 overnight trips per year covering areas both in and out of state.
  • Extended work required on occasion due to special events and attendance and participation at networking, training, and industry functions that begin well before the workday, and may extend well into the evening.

The applicable base salary range for this role is $54,600 to $95,500.
The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
