Reports To:
Director of Donor RelationsWHAT YOU’LL DOEvent Strategy & Execution
  • Develop a forward-thinking and sophisticated strategy for event planning, focused on anticipating the needs of donors, parents, alumni, and school leadership
  • Plan, oversee, coordinate, and execute all aspects of advancement and alumni events including Board meetings, parent receptions, alumni events, Grandparents Day, faculty and staff events, fundraising events, and donor stewardship events
  • Manage events from inception to execution - including logistical planning, layout, registration, RSVP tracking, day-of management, and post-event evaluation
  • Effectively partner with teammates acting as event hosts to execute on their vision and help them reach their goals for each event
Budget & Vendor Management
  • Develop and monitor special events budgets and timelines for all assigned events
  • Manage relationships with internal and external vendors to ensure quality execution within budget
  • Track year-over-year ROI for individual events to assess effectiveness and explore opportunities to strategically pivot for greater efficiency
Communications & Constituent Engagement
  • Coordinate all event correspondence to constituents, including email blasts, invitations, and letters
  • Create detailed event itineraries and runs of show for advancement and leadership staff
Data & Systems Management
  • Manage online event platforms and all data associated with events
  • Track analytics for event attendance and provide participation updates to event hosts
  • Coordinate necessary data entry by the Advancement Services team or input data directly into the Raiser’s Edge database as needed
  • Create and maintain shared files with electronic playbooks for all events, updating as needed

WHAT YOU BRINGRequired Qualifications
  • Bachelor’s degree from an accredited university
  • 5+ years of experience in event planning and fundraising, preferably in a nonprofit or independent school environment
  • Proficiency with Google Workspace and Blackbaud Raiser’s Edge
  • Excellent written and verbal communication skills with the ability to work effectively across varied constituencies - donors, alumni, parents, board members, volunteers, vendors, and staff
  • Highly organized with superior attention to detail and the ability to manage multiple events and deadlines simultaneously
  • High energy, self-starting, and flexible - with strong prioritization and multitasking skills
  • Initiative and ability to work both independently and collaboratively
  • Creativity and a positive attitude
  • Willingness and flexibility to manage and participate in evening and weekend events as needed
