Events Operations Coordinator

As a SCAD events operations coordinator, you will manage a variety of university signature events, exhibitions, receptions, workshops, and cultural events in Atlanta. You will oversee the setup, breakdown, and logistics of events to ensure a smooth and seamless experience for attendees. Responsibilities include the negotiation of contracts, the management of vendor relationships, and the assurance of compliance with SCAD's policies and procedures. You will liaise with vendors and suppliers to secure event-related services, equipment, and supplies and assist with budget development and management to ensure cost-effectiveness and adherence to financial guidelines. Similarly, you will track event-related expenses, reconcile invoices, and provide regular updates on budget utilization. 

In this role, you will manage event registration processes and handle attendee inquiries to ensure a positive and efficient registration experience. Among other duties, you will handle event communication, including sending invitations, confirmations, and event-related information to participants. You will work closely with cross-functional teams - including marketing, communications, facilities management, and academic departments - to ensure successful event planning and completion. You will also collaborate with internal stakeholders to develop event concepts and themes that align with SCAD's brand and objectives. Responsibilities include on-site event management, oversight of event logistics, and the resolution of issues to ensure events run smoothly. Additionally, you will serve as the main point of contact for staff, volunteers, and participants during events.

The ideal candidate demonstrates exceptional organizational skills and attention to detail. They can also manage multiple tasks simultaneously while exhibiting excellent communication, negotiation, and interpersonal skills. The candidate can work effectively in a fast-paced, collaborative team environment.

Minimum qualifications: 

  • Bachelor's degree in event management, hospitality, business, or a related field
  • Experience in event coordination and operations, preferably in an educational or creative institution
  • Proficient in event management software and tools.
  • Ability to work nights and weekends

Certificates, licenses, and registrations:  

  • Valid driver's license

Travel required:  

  • 20-40% 

Work hours:The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
