Event & Staffing Manager

Work Environment: In Person | Orlando Office with Local Event Attendance

Job Type: Full Time

A & Associates is seeking a motivated, organized, and highly dependable Staffing & Event Operations Manager to join our Orlando team.

This is a hands on position combining full cycle recruiting, staffing operations, client relationship management, and on site event coordination. The ideal candidate will be comfortable recruiting at a high volume while also serving as an A & Associates representative at major sporting events, concerts, and other special events throughout the Orlando area.

A key requirement of this position is schedule flexibility. The Staffing & Event Operations Manager will be expected to attend every assigned event to oversee employee arrival and check in. Events may take place during weekday evenings, weekends, daytime hours, nighttime hours, and occasionally holidays.

The manager is not required to remain for the entire event unless operational needs require additional support. However, attendance during employee check in is required.

Event Operations Responsibilities

• Attend all assigned events to manage the employee check in process

• Arrive before the scheduled employee call time to prepare for staff arrival

• Manage employee clock in and verify attendance

• Conduct uniform and professional appearance checks

• Verify required security licenses and credentials when applicable

• Ensure employees understand where they are assigned and where they need to report

• Identify late arrivals, call outs, uniform issues, or staffing shortages and communicate them immediately

• Check in with the client or designated event management representative before the event

• Serve as the on site A & Associates management representative during employee check in

• Maintain accurate event rosters and attendance records

• Communicate any significant staffing or employee issues to A & Associates leadership

• Provide a brief update following check in regarding attendance and any issues that occurred

• Remain for the full event when additional management support is needed or desired

Events may include professional and college football games, basketball games, concerts, festivals, conventions, and other major events.

Recruiting & Staffing Responsibilities

• Manage full cycle recruiting from initial candidate sourcing through onboarding and placement

• Conduct high volume recruiting for event security, guest services, hospitality, general labor, and other staffing positions

• Post job opportunities and actively source qualified candidates

• Conduct recruiting calls, candidate screenings, and interviews

• Coordinate onboarding and ensure candidates complete all required documentation

• Build and maintain a large database of qualified and available employees

• Maintain regular communication with employees regarding availability and upcoming assignments

• Schedule and confirm employees for upcoming events and client assignments

• Continuously recruit to maintain a strong bench of employees rather than waiting until positions become available

• Track recruiting activity, candidate progress, employee availability, attendance, and staffing results

• Assist other A & Associates accounts with recruiting and staffing when event activity is slower

Client Relationships

• Develop strong professional relationships with assigned clients

• Maintain regular communication regarding staffing needs and upcoming events

• Check in with clients to ensure A & Associates is meeting expectations

• Respond quickly to staffing requests and operational concerns

• Identify opportunities where A & Associates can provide additional staffing support

• Represent A & Associates professionally at every client location and event

Qualifications

• Previous staffing, recruiting, event management, operations, or workforce management experience preferred

• High volume recruiting experience strongly preferred

• Strong communication and relationship building skills

• Excellent organizational and time management abilities

• Comfortable making a high volume of recruiting and employee calls

• Ability to manage multiple staffing requests and deadlines simultaneously

• Strong computer, email, applicant tracking, and database management skills

• Ability to work independently and take ownership of responsibilities

• Professional appearance and strong customer service skills

• Reliable transportation to attend events throughout the Orlando area

• Must be dependable and punctual

Schedule Flexibility is Required

This is not a traditional Monday through Friday position.

The Staffing & Event Operations Manager will work primarily from our Orlando office but must have the flexibility to attend assigned events outside of normal business hours.

Event check ins may occur during:

• Weekday evenings

• Weekends

• Daytime hours

• Nighttime hours

• Holidays when events are scheduled

Attendance at assigned event check ins is an essential responsibility of this position.

Managers are generally not required to remain for the entire event after successfully completing employee check in and client coordination. However, managers may choose to work the event or may be asked to remain when additional operational support is needed.
