Job description

The Immersive Experience Event Manager oversees the direct management and execution of onsite event staffing operations for Memoir Agency’s owned events. This role is responsible for leading supervisors, coordinators, runners, and activation staff to ensure smooth execution of sponsor activations, staffing logistics, and event operations.

Working closely with the Assistant Producer and Guest Experience leadership, the Event Manager ensures frontline staffing teams are properly deployed, supported, and operating efficiently throughout the event lifecycle.

This is a SEASONAL position based in Orlando, FL with an expected start date on or around September 1st and end date on or around January 8th. Opportunities to continue in full-time regular role beyond the expected end date may be available and not guaranteed or predicted.

Key Responsibilities

Staffing & Event Operations Management

  • Lead onsite staffing operations for activations, event support areas, and operational teams.
  • Directly manage supervisors, coordinators, runners, and frontline event staff.
  • Ensure staffing assignments, breaks, coverage, and operational needs are managed efficiently throughout the event lifecycle.
  • Monitor staff performance and maintain high standards of professionalism, accountability, and guest interaction.
  • Support staffing preparation efforts including recruitment support, onboarding coordination, staff scheduling, and workforce readiness in partnership with the Assistant Producer.
  • Assist with staff trainings and ensure frontline teams are prepared for operational execution, guest engagement expectations, and brand standards.

Activation Oversight

  • Oversee execution of sponsor activations and branded experiences onsite
  • Ensure activation teams are operationally prepared, guest-ready, and executing according to brand standards.
  • Troubleshoot activation issues including staffing gaps, supply needs, guest flow, and operational adjustments.
  • Monitor activation performance and support real-time operational pivots as needed throughout event execution.

Team Leadership

  • Provide real-time leadership, communication, and operational support to supervisors and coordinators.
  • Support frontline problem solving and escalation management.
  • Assist with staff check-in, deployment, repositioning, and shift transitions as needed.
  • Foster a collaborative, solutions-oriented environment across onsite staffing teams.
  • Operational Coordination
  • Partner closely with the Assistant Producer, Guest Experience Manager, and venue teams to maintain smooth event operations.
  • Communicate operational updates, staffing issues, and onsite needs to leadership teams in real time.
  • Support load-in, event-day operations, and strike execution.
  • Assist in maintaining operational readiness across staffing, activation, and guest-facing areas throughout all phases of the event.

Qualifications

Required:

  • 2–4+ years of live event, experiential, festival, or venue operations experience.
  • Prior experience managing event staff and frontline operational teams.
  • Strong leadership, communication, and multitasking skills.
  • Ability to work effectively in high-pressure, fast-paced environments.
  • Strong organizational and problem-solving abilities.
  • Flexible schedule availability including nights, weekends, and holidays.

Work Environment & Schedule

  • Full-time Seasonal role with schedule flexibility based on business needs.
  • Work on-site required during event dates, preview and post-production. Office or remote work available during pre-production prior to November.
  • Evening, weekend, and extended on-site commitments are expected during installation, rehearsals, event operations and dismantle.
  • Work will occur remotely or venue location, and outdoor site environments, including active construction or production settings.

Compensation & Benefits

  • Starting Rate of Pay $28.00-32.00 per hour, depending on prior experience
