Job description

The Coordinator, Student Affairs Operations & Communications serves as a central hub for the Division of Student Affairs, managing the campus ID card system, coordinating divisional communications and marketing, overseeing the HUB desk and student staff, and providing administrative support across the division.

Working closely with leaders throughout Student Affairs, this role combines hands-on operational responsibilities with communications work, requiring someone who can move fluidly between managing systems, supervising student employees, and producing engaging content. The ideal candidate is organized, service-oriented, and comfortable wearing many hats in a fast-paced campus environment.

Key Responsibilities

ID Card Systems & Data Management

  • Administer the campus ID card system, including creating and issuing cards for incoming students, new employees, contractors, vendors, and TAP students, as well as replacement cards for current students
  • Troubleshoot card access issues across campus, serving as liaison between Housing and Residential Life, Campus Public Safety, and other partners; maintain the vendor relationship with Higgins for equipment upkeep
  • Collect, maintain, and analyze Student Affairs data across divisional programs including engagement, fitness center, intramurals, and wellbeing metrics

HUB Desk Operations & Student Staff Supervision

  • Manage the HUB desk, providing a welcoming, professional presence in the IDX Student Life Center and Fitness Center and directing students, families, and campus partners to appropriate resources
  • Oversee HUB desk functions including event sign-ups, van reservations, laundry service system, and student liability and media waivers
  • Hire, train, and supervise student employees staffing the HUB desk; provide mentorship and professional development opportunities fostering leadership and skill-building

Communications & Marketing

  • Produce and coordinate Student Affairs communications using platforms such as MyEmma, including parent/family and student newsletters and admissions communications to incoming students
  • Create and publish digital signage, promotional materials, and divisional publications such as The View and Stall Street Journal; manage event poster approval and distribution

Divisional Administrative & Operations Support

  • Process invoices, support budget tracking, and maintain and order supplies and materials for divisional staff in coordination with the VPSA and senior leaders
  • Support planning and execution of division meetings, campus events (Admitted Student Days, orientation, openings/closings), and divisional projects and initiatives
  • Manage orientation administrative tasks, maintain the divisional programming schedule, and assist with contract management and tracking
Requirements
  • High school diploma or equivalent required; Bachelor's degree in Communications, Business, Higher Education, or a related field preferred
  • 1-2 years of relevant professional experience in higher education, administrative, operations, or communications setting required; 2+ years preferred
  • Excellent written and verbal communication skills with strong customer service orientation
  • Strong organizational skills with the ability to manage multiple concurrent responsibilities and maintain accurate records
  • Proficiency in digital tools and systems; experience with ID card platforms, email marketing systems (e.g., MyEmma), and data management tools preferred
  • Experience supervising student employees or volunteers a plus
Working Arrangements
  • Full-time (37.5 hours/week), on-campus position based at our main campus in Burlington, VT, with regular presence at the HUB desk and Student Life Center
  • Standard business hours Monday through Friday, with occasional evening and weekend availability for student staff shifts and campus events such as orientation and openings/closings
  • Primarily computer-based work with frequent interpersonal interaction; ability to lift and move event and office supplies as needed
Compensation & Benefits
  • Annual Salary: $47,000 - 50,000
