We're seeking a highly organized, execution-focused Contract Event Marketing Specialist to support the planning and delivery of third-party industry events. This role will partner closely with the Event Marketing Manager to execute event logistics, coordinate cross-functional deliverables, manage timelines, and ensure flawless onsite event operations.

The ideal candidate thrives in fast-paced environments, enjoys managing details, and takes pride in keeping complex projects on track. While the Event Marketing Manager owns overall event strategy, this role is responsible for bringing those strategies to life through exceptional execution.

Requirements
  • 3+ years of experience in event marketing, event planning, or project management
  • Proven experience independently executing logistics for conferences, trade shows, or corporate events, including managing vendors, shipping, registration, and onsite operations.
  • Strong project management discipline: building and maintaining workback schedules, tracking deliverables, and keeping multiple stakeholders aligned to deadlines.
  • Demonstrated ability to manage multiple events at once in a fast-paced environment while maintaining a high bar for detail and quality.
  • Excellent communication and stakeholder management skills, with a track record of partnering effectively with marketing, sales, executives, and external vendors.
  • A proactive, problem-solving mindset that anticipates risks early and drives clear action plans rather than reacting at the last minute.
  • Comfort using CRM and project management tools (e.g., Salesforce, Asana, or similar) to manage tasks, track status, and support post-event reporting.
Responsibilities Event Execution & Logistics
  • Support the end-to-end execution of 10-15 third-party industry events annually
  • Manage project timelines, workback schedules, and deliverable tracking
  • Coordinate venue logistics, shipping, vendor communications, and onsite operations
  • Manage registration, attendee communications, and event documentation
  • Coordinate hotel rooming lists, staffing logistics, and travel support
Cross-Functional Project Management
  • Partner with key stakeholders to ensure all event deliverables are completed on schedule
  • Ensure assets, signage, giveaways, demos, and collateral are produced and delivered on time
Operational Excellence
  • Maintain project documentation and standard operating procedures
  • Track event KPIs and support post-event reporting
