Job description

We are seeking a friendly, and proactive Event Coordinator to join our team. The ideal candidate is a self-starter who thrives in a moving environment, enjoys creating event experiences, and can manage multiple projects with confidence and attention to detail. This role requires great communication and organizational skills, a positive attitude, and the ability to anticipate needs while working independently and collaboratively. This is a position for an entry level administrative role.

Essential Responsibilities:

· Maintain office calendars and coordinate scheduling for upcoming meetings and events.

· Be able to maintain inventory of event supplies, ensuring materials are stocked and organized.

· Organize and maintain a structured Google Drive filing system for event documents and resources.

· Set up logistics for in-office meetings, conferences, and special events.

· Record and distribute meeting notes and action items during weekly planning meetings, and maintain the folders with updates for the different events.

· Assist with managing hotel room blocks for staff, vendors, and event attendees. Update leading up to the events.

·Coordinate private dining arrangements and venue reservations for meetings and events.

· Work with Director and coordinate travel arrangements, including flights, hotels, and transportation for staff and vendors.

This is an hourly position, rate range is $21 - $23, based on experience.
