What is event logistic?

Event logistics refers to the planning, coordination, and management of all the details needed to ensure an event runs smoothly. This includes tasks like arranging transportation, managing schedules, overseeing equipment and supplies, and coordinating with vendors, venues, and staff. Effective event logistics help prevent issues and ensure all aspects of the event are executed on time and within budget. Professionals in this field are essential for the successful delivery of conferences, concerts, weddings, and other large gatherings.

What are common challenges faced by event logistic professionals, and how can they be managed effectively?

Event logistics professionals often encounter challenges such as last-minute changes, tight deadlines, and coordinating multiple vendors or teams. Effective communication, detailed contingency planning, and maintaining updated checklists are crucial for managing these issues. Building strong relationships with suppliers and staying adaptable in fast-paced environments also help ensure events run smoothly. Proactively addressing potential obstacles and remaining flexible can turn challenges into opportunities for successful event execution.

What are the key skills and qualifications needed to thrive as an event logistics coordinator, and why are they important?

To thrive as an Event Logistics Coordinator, you need strong organizational skills, attention to detail, and experience in event planning or coordination, often supported by a degree in hospitality or a related field. Familiarity with event management software, scheduling tools, and budgeting systems is typically required. Excellent communication, problem-solving abilities, and adaptability are essential soft skills for handling unexpected challenges and working with diverse teams. These skills ensure smooth event execution, effective collaboration, and client satisfaction in a dynamic environment.

The position supports staffing logistics, vendor compliance, operational and event planning, and on-site management to deliver exceptional event experiences.
Essential job functions:
  • Lead advance planning meetings, client walkthroughs, and production advances, confirm scope, timelines, staffing plans, and day of event escalation paths.
  • Own and maintain the complete event record in Momentus, ensuring all event details, notes, schedules, vendor lists, account information, required documents, executed plans, permits, COIs, incident reports, and post-event recaps are accurately stored and kept up to date within the system.
  • Develop and publish event day documents, including run of show, staffing plan, post orders, radio plan, break plan, and check in plans.
  • Coordinate with Production, Marketing, Food and Beverage, Safety, and Security leads to confirm daily operational requirements, and resolve conflicts prior to event day.
  • Serve as Manager on Duty during assigned events, make real time decisions to protect guest experience, safety, schedule, and venue assets.
  • Direct part time event staff on event day, including guest experience, parking, housekeeping, and assigned support teams, and confirm staff placement and breaks.
  • Coordinate vendor and talent arrivals, credentialing, check in, and backstage or compound operations, and confirm curfew compliance with the promoter and producer.
  • Maintain strong working relationships with clients, promoters, producers, tenants, contractors, public safety officials, subcontractors, and internal stakeholders.
  • Manage vendor compliance items, including COIs, required permits, and vendor documentation, and track status through completion.
  • Support staffing partner coordination, including schedule confirmations, invoice review, and timesheet reconciliation.
  • Track and manage event equipment, including radios, chargers, and check out logs, and reconcile missing items after events.
  • Prepare post event reports within two business days, document wins, issues, incidents, and corrective actions, and assign follow ups to the right owners.
  • Support staff orientations and briefings for events, including safety notes, time keeping requirements, radio etiquette, site rules, and guest service standards.
  • Perform other duties as assigned.

Minimum Qualifications
