VDA is a leading Experiential Event Design Agency specializing in 3D marketing and design for virtual and physical solutions that bring brands to life. We work across Corporate Meetings, Tradeshows, Themed Events, Exhibits, Retail Environments, and Corporate Facilities. Our team thrives on delivering high-impact experiences that engage audiences and elevate brands.
Role Summary
The Sales Coordinator supports the sales and business development teams in driving growth and fostering strong client relationships. This role is responsible for coordinating sales activities, developing Statements of Work (SOWs), preparing proposal materials, and ensuring a seamless transition of projects from the sales pipeline to the project management team. The Sales Coordinator plays a key role in helping secure and deliver projects that bring brands to life through innovative experiences.
Key Responsibilities
Sales Support
  • Assist in the development of proposals, presentations, and client-facing materials using Google Workspace and Microsoft Office.
  • Draft and compile detailed Statements of Work (SOWs), clearly outlining scope, deliverables, timelines, and assumptions.
  • Maintain and update CRM systems with accurate client interactions, opportunity tracking, and project status updates.
  • Support timely client communication and follow-ups to ensure a high level of responsiveness and engagement.

Client Coordination
  • Partner with internal teams using Monday Work Management/CRM to align on scope, timelines, and budgets.
  • Support client onboarding and facilitate a smooth transition from sales to project management.

Project Management Support
  • Collaborate with project management teams to ensure a seamless project handoff, including all required documentation and context.
  • Assist in tracking project milestones and deliverables to maintain alignment with client expectations.
  • Support cross-functional coordination to ensure efficient workflow and execution.

Administrative Support
  • Prepare and maintain sales reports, documentation, and performance tracking using Google Sheets and Microsoft Excel.
  • Coordinate meetings via Outlook and Zoom, including scheduling, agenda preparation, and capturing notes.
  • Create and update branded sales materials using Canva as needed.

Qualifications & Skills
  • 1-2 years of experience in sales coordination, business development, or a related role.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Workspace, Microsoft Office Suite, Monday Work Management/CRM, Canva, and Zoom.
