About the Job
We're looking for an energetic, highly organized and detail-loving Event Coordinator to help bring Smokeball's nationwide events program to life! In this role, you'll play a key part in planning, coordinating, and executing impactful events that elevate our brand and create memorable experiences for our clients, partners, and teams.
From managing vendors and event logistics to keeping CRM and project management systems running smoothly, you'll be at the center of all the action, supporting our Sales and Partnerships teams before, during and after every event. You'll also help bring our flagship event, "Spark," to life by assisting with planning and on-the-ground execution.

Key Responsibilities
Event Coordination
  • Manage end-to-end event logistics, including vendors, sponsorships, booth requirements, budgets, timelines, inventory, shipping, and event documentation/briefings.

Cross-Functional Collaboration
  • Collaborate with Sales, Partnerships, and Marketing teams to align on event goals, staffing, deliverables, marketing assets and event communications.

Event Execution & Support
  • Serve as a key point of contact during events, providing real-time support to internal teams and sales contacts as needed
  • Support the coordination and execution of Smokeball-hosted events, including our flagship event, "Spark"

Post-Event Follow Up & Reporting
  • Manage post-event follow-up, including lead verification, CRM uploads, lead allocation, and tracking closed deals
  • Reconcile event budgets and reporting, while sharing results and recommendations with leadership to support future event strategy

What we're looking for:
  • 3+ years' experience in event coordination, operations, trade shows, or conference support in fast-paced environments
  • Strong organizational, project management, and problem-solving skills with the ability to manage multiple priorities independently
  • Experience managing event logistics, vendors, shipments, inventory, timelines, and onsite execution
  • Excellent communication and cross-functional collaboration skills, with confidence supporting stakeholders and teams during live events
  • High attention to detail, accountability, and adaptability in deadline-driven environments
  • Proficiency with Salesforce (or similar CRM), project management tools, Microsoft Office, Slack, and shared drives
  • Passion for operational excellence and delivering high-quality event experiences
  • Willingness to travel as needed
Compensation
$60,000-80,000 base salary/ year
