As the Program Delivery Coordinator - Amazon Meetings and Events, you will work closely with internal vendors and key stakeholders to facilitate and support local Amazon events taking place in key buildings within Amazon corporate offices. What your day-to-day will look like:

  • Process event requests and correspond with Amazon customers, ensuring timely and accurate communication throughout the event lifecycle
  • Coordinate and lead planning and walkthrough meetings with customers and vendor partners, serving as the primary point of contact for event logistics
  • Disseminate information to large audiences, including alerting building occupants and vendors of event-related impacts to ensure awareness and smooth operations
  • Provide on-site coverage and troubleshooting during high-impact events to ensure successful event operations and immediate resolution of issues
  • Organize and compile event data metrics, tracking performance and identifying trends that inform continuous improvement
  • Create and maintain standardized event documents including templates, checklists, and procedural guides that support consistency and efficiency
  • Respond to and act on customer feedback, implementing improvements based on insights and maintaining high satisfaction levels
  • Create and update documents to track metrics, clarify procedures, provide information, organize team tasks, and address needs as they arise
  • Support and maintain good inter-vendor communications between Facilities, Catering, AV, Reception, Janitorial, and Engineering as requested to ensure seamless coordination
  • Assist in the planning and hosting of occasional GREF-related events as needed, supporting broader organizational initiatives
  • Perform other duties as assigned in support of Events Program Manager.

Required Qualifications:

  • Bachelor's degree or equivalent four (4) years of experience preferred demonstrating strong foundation in event coordination, hospitality, or related fields
  • Three (3) or more years of experience in event coordination or event administrative support with demonstrated success managing event logistics
  • Must be proficient with Microsoft Office including MS Word, MS Excel, and MS Outlook to support event coordination and documentation
  • High level of accuracy and attention to detail, ensuring flawless execution and professional presentation
  • Positive, professional, customer service-oriented personality with commitment to exceeding client expectations
  • Excellent interpersonal and communication skills, both verbal and written, with ability to engage effectively with diverse stakeholders
  • Ability to work independently, at times, with little direction while maintaining accountability for deliverables
  • Ability and attentiveness to multi-task, managing multiple concurrent events and priorities effectively
  • Ability to interact with employees, visitors, and contractors with poise and diplomacy
  • Ability to apply principles of rational systems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to interpret instructions in written, oral, diagrammatic, or schedule form
  • Initiative to assume additional responsibilities and adapt to changing priorities
  • Ability to set priorities and meet deadlines in a fast-paced environment
  • Advanced competence with a variety of software including MS Word, MS Excel, MS Outlook, and other requested software programs
  • Ability to perform basic business math such as computing discount, interest, percentage, and profit/loss
  • Excellent grammar and proofreading abilities supporting professional communication
  • Completion of Non-Disclosure Agreement confirming understanding of highest level of confidentiality required to work on behalf of Amazon.

Preferred Qualifications:

  • Three (3) or more years of experience in facilities management providing understanding of building operations and vendor coordination
  • Microsoft Visio or CAD experience supporting space planning and event layout design
  • Experience working in corporate environments, particularly supporting workplace services or corporate events
  • Background coordinating high-profile or executive-level events with understanding of protocol and elevated service expectations
  • Experience with event management software, registration platforms, or project management tools that support efficient operations
  • Knowledge of AV equipment, event production, and technical requirements including ability to coordinate with technical vendors
  • Understanding of catering coordination, dietary restrictions, food safety, and hospitality best practices
  • Experience developing and implementing SOPs, process improvements, or operational enhancements
  • Background in data analysis and reporting supporting performance tracking and continuous improvement
  • Experience working in fast-paced, high-demand corporate cultures requiring agility and adaptability
  • Track record of building strong cross-functional partnerships and maintaining positive vendor relationships.
