Event Venue Representative
(Part Time, Non-Exempt)

$15.70 to $20.20

This is an ongoing recruitment process, with no specific closing date. We will be reviewing applications on a rolling basis.

Position Summary:

Under the supervision of the Event Venue Sales Manager, this position is the representative for Hudson Gardens for private events, ensuring that events run smoothly and enforcing venue policies. This is a part time position generally requiring approximately 6 to 30 hours per week, varying throughout the year. Availability to work flexible hours, including evenings, weekends, and holidays is required. This is not an event planning position.

Essential Duties:

  • Serves as Hudson Gardens representative for private events including, but not limited to, weddings, celebrations of life, corporate functions, birthdays, anniversaries, and other gatherings. Ensures that events run smoothly by supporting clients, guests, catering and other vendors, enforcing venue policies, and upholding South Suburban's and Hudson Gardens' standards of hospitality and customer service.
  • Opens and closes venues per event guidelines and procedures.
  • Greets and directs vendors, ensuring compliance with Hudson Gardens' policies and procedures.
  • Communicates accurate information to vendors, attendees, patrons and staff to ensure a positive event for the client.
  • Ensures that Hudson Gardens fulfills all contractual obligations to clients.
  • Creates an atmosphere of hospitality through courteous, helpful, patient service to guests and visitors.
  • Ensures that vendors clean up and put away equipment at the end of the event.
  • Monitors event timelines to ensure adherence to schedules.
  • Oversees post-event procedures, including vendor cleanup, breakdown of tables and chairs, trash removal, and restoring event spaces to proper condition.
  • Works as a team with fellow co-workers and communicate well with vendors, other employees and guests.
  • Monitors safety and responds to emergencies. Administers basic first aid and completes Accident/Incident reports as needed.
  • Responds to public inquiries in a courteous manner; provide information within the area of assignment, resolve complaints in an efficient and timely manner.
  • Identifies and reports facility hazards or issues to supervisor.
  • Submits nightly reports for each event.
  • Attends and participate in staff meetings, trainings, and orientations. Develops a thorough understanding of Hudson Gardens' venues, policies, and event offerings.
  • Attends work on a regular, reliable and punctual basis, sub for co-workers when available.

Education and/or Experience:

  • Must be at least eighteen (18) years of age.
  • A minimum of 1 year of client service experience.
  • Previous party host/hospitality experience preferred.
  • Availability to work flexible hours, including evenings, weekends, and holidays is required.

Licenses, Certifications, and Other Requirements:

Must possess a valid Colorado Driver License or obtain upon hire and maintain an acceptable driving record.

Necessary Knowledge, Skills and Abilities:

  • Ability to effectively use an iPad and event management software such as Cognito for checklists, reporting, and communication.
  • Ability to communicate professionally through digital platforms and complete electronic reports accurately and on time.

Material and Equipment Used:

  • Regularly uses a phone, email, printer, and other common office equipment.
  • May occasionally be required to drive a personal vehicle to various District facilities.

Working Environment:

This position primarily takes place in a moderate to loud, noisy event venue. Ability to stand and walk for extended periods of time. Ability to lift 50 lbs.

Physical Requirements:

  • Frequently sits, stands, walks, climbs, bends, kneels, stoops, reaches and lifts.
  • Manual dexterity and the ability to handle objects and equipment.
  • Upper body strength sufficient to lift/move up to 50 pounds; may occasionally be required to lift up to 100 pounds with assistance.
  • Ability to assist in moving and setting up tables, chairs, and other event equipment.
  • Vision requirements include near and far acuity, depth perception, and the ability to adjust focus.
  • Ability to communicate effectively in person, over the telephone, and via e-mail.
  • Must be able to safely operate a motor vehicle and/or golf cart.
