Job summary

The event planning intern gains practical experience and exposure to administrative tasks and responsibilities by assisting with event and meeting planning, setup and cleanup, and day-to-day administrative duties such as answering phone calls, organizing files, scheduling meetings and preparing documents.

This position is intended for a student who is currently pursuing a degree in hospitality, event management or a related field and will assist with the planning and execution of year-end business meetings, a ribbon-cutting ceremony, the holiday employee appreciation party and other year-end celebrations.

Our ideal intern demonstrates multitasking, prioritization, time-management and organizational skills. A desire to provide excellent customer service, willingness to assist where needed, and strong communication skills are crucial for success in this internship.

Schedule and environment

This is a part-time internship that may work up to 29 hours per week for approximately four months. The individual hired in this internship is required to work December 5 (all day and into evening hours).

Work is performed primarily in an office environment, with occasional attendance at meetings, employee activities, and project-related functions. Occasional evening or after-hours event support may be required. This is not a hybrid or remote position.

Essential duties and responsibilities

  • Assist with planning and execution of employee, business and community events
  • Support coordination of event logistics, timelines, schedules and planning documents
  • Assist with venue preparation, event setup, event support and post-event activities
  • Coordinate event materials, supplies, catering, transportation and vendor-related logistics, as appropriate
  • Maintain event records, planning files, inventories and related documentation
  • Assist with communications and coordination among internal stakeholders, vendors and event participants
  • Support scheduling, meeting preparation and administrative activities related to event planning initiatives
  • Assist with travel-related documentation and coordination, as needed
  • Support event evaluation activities and compile information for post-event reviews
  • Assist with special projects related to workplace experience, hospitality and event planning
  • Perform other duties as assigned

Pay

This is a temporary, part-time, non-exempt internship working up to 29 hours per week and is not benefits eligible. Wages are paid bi-weekly.
