Job description

Description The City Events Volunteer assists with the successful planning, setup, operation, and breakdown of City-sponsored events. Volunteers help create a welcoming, safe, and enjoyable experience for residents, visitors, vendors, and event participants. This position may support a variety of event areas, including guest services, vendor check-in, event booths, children's activity areas, crowd flow, entry points, parking assistance, information tables, and general event cleanup.

Volunteers serve as representatives of the City and are expected to be courteous, professional, dependable, and helpful when interacting with the public, City staff, vendors, and community partners. Essential Functions Duties may vary depending on the event assignment and operational needs. Responsibilities may include, but are not limited to: Greet attendees, vendors, participants, and community members in a friendly and professional manner.

Assist with event check-in, including vendors, volunteers, performers, booth participants, or other event partners. Direct vendors, exhibitors, and participants to assigned locations for setup, parking, or event activities. Provide general event information to attendees, including directions, schedules, activity locations, and event guidelines.

Assist with front gate, welcome table, information booth, or registration table duties. Help monitor lines, crowd flow, and activity areas to support a safe and organized event environment. Assist with children's activities, games, booths, photo opportunities, giveaways, or other family-friendly event stations.

Hand out event materials, promotional items, candy, wristbands, maps, flyers, or other approved items. Help communicate event rules and safety guidelines to attendees in a respectful and professional manner. Assist with light setup and takedown of tables, chairs, signage, supplies, decorations, and event materials.

Help keep assigned areas clean and presentable by picking up trash, restocking supplies, and assisting with event cleanup. Report safety concerns, lost children, medical concerns, disruptive behavior, or other issues to City staff immediately. Follow instructions from the Events Coordinator, City staff, or assigned event lead.

Remain at the assigned volunteer area unless released or reassigned by City staff. Maintain a positive and service-oriented attitude throughout the volunteer shift. Additional Event Support Duties Depending on the event, volunteers may also assist with: Parking or directional support.

Line monitoring for rides, attractions, activities, or food areas. Crowd control support in designated areas. Restocking supplies at booths or activity stations.

Assisting with volunteer check-in or volunteer hospitality areas. Supporting senior, youth, recreation, holiday, cultural, community, or special event programs. Helping attendees locate restrooms, first aid, exits, accessibility areas, or event services.

Supporting event staff during weather-related changes, schedule adjustments, or emergency procedures. Assisting with post-event cleanup and return of supplies to designated areas. Qualifications Background Check Requirement All volunteers are subject to a criminal background check prior to being approved for volunteer service.

Volunteer placement is contingent upon successful completion of the background check and final approval by the City. The City reserves the right to deny or limit volunteer assignments based on the results of the background check, the nature of the event, or the responsibilities assigned. Must be dependable, punctual, and able to follow directions.

Must be able to interact respectfully with the public, City staff, vendors, children, families, and other volunteers. Must be able to remain professional in a fast-paced public event environment. Must be able to work independently or as part of a team.

Must be willing to follow City policies, event procedures, safety instructions, and volunteer guidelines. Must be able to maintain confidentiality when applicable. Must be able to successfully complete a criminal background check before volunteering.

Supplemental Information Time Commitment and Schedule Volunteer shifts vary depending on the event and may include mornings, afternoons, evenings, weekends, or holidays. Volunteers are expected to arrive on time, check in with the designated City staff member or Events Coordinator, and remain for the full assigned shift unless otherwise approved. Dress Code Volunteers may be provided with an event volunteer shirt or other identifying item.

Volunteers must wear closed-toed shoes and dress appropriately for the weather and assigned duties. Clothing should be neat, appropriate for a public City event, and suitable for standing, walking, light lifting, or outdoor conditions. Volunteer Status This is an unpaid volunteer position.

Volunteers are not City employees and do not receive wages, benefits, or employment rights associated with paid City employment. Volunteer service may be discontinued by the volunteer or the City at any time.
