Job Summary


Sage Recovery & Wellness Center is an outpatient recovery center for adults and adolescents struggling with mental health, alcohol or substance abuse; offering individual counseling, couples & family counseling, group therapy and intensive outpatient group therapy programs. Sage is located in Austin, TX approximately one mile west of the Capital of Texas Highway on Bee Caves Rd. in Westlake.


Position: Evening Receptionist/Administrative Assistant

We are looking for an Evening Receptionist/Administrative Assistant to join our Outpatient Location who is able to fill a full-time position. Part-time hours is negotiable, as long as it's Monday - Friday.

Reports to: Program Manager


Duties & Responsibilities Include:

  • Greets clients in person and/or over the phone
  • Scheduling therapy appointments in Lightning Step (EMR) and sending appointment emails
  • Keep up-to-date on client census and support the Admissions' team
  • Assist with documentation auditing, collection, and updates within our Electronic Medical Records (EMR) system
  • Keep client consents up-to-date in the EMR system
  • Maintaining the office (ie. supplies inventory, purchasing, keeping the lobby neat, etc)

  • Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
  • Prepares paperwork for client’s first day and collects UA sample for Dual PHP/IOP clients
  • Directs new clients to correct programming location (if applicable)
  • Makes follow up phone calls to graduated and discharged clients as assigned by manager
  • Checks and responds to company emails daily
  • Checks and processes received faxes multiple times daily
  • Requests and sends medical records to outside providers & processes medical record requests
  • Occasional off-site errands may be necessary
  • Able to follow new protocol as outlined by Leadership
  • Making coffee or preparing other refreshments for clients
  • Additional administrative duties as needed
