Clinical Operations Assistant


Remote | Full-Time | 8:00 AM-4:30 PM

The IMA Group is seeking a detail-oriented Clinical Operations Assistant to join our team in a fully remote role. This position plays a key role in supporting clinical operations by coordinating appointments, reviewing medical documentation, maintaining records, and ensuring a seamless experience for clients and providers.

This position is not considering candidates from New York City, Chicago, California, Colorado, or Washington states at this time.

What You'll Do:

  • Schedule and coordinate client appointments
  • Review medical records and diagnostic reports to ensure all required documentation is complete
  • Obtain and process exam requests through electronic and manual systems
  • Enter and maintain accurate information in internal databases
  • Follow up on outstanding diagnostics and retrieve reports as needed
  • Communicate with clinical offices, clients, and internal teams
  • Reconcile billing discrepancies and assist with administrative processes
  • Manage calendars, files, correspondence, and reports
  • Respond to emails and assigned tasks within established timeframes
  • Perform data entry and other administrative duties as assigned

Qualifications:

  • High School Diploma required
  • Minimum 2 years of clinical, medical office, scheduling, or administrative experience
  • Proficiency with Microsoft Office Suite, including Outlook, Teams, Word, and Excel
  • Strong organizational skills and attention to detail
  • Excellent communication and customer service skills
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Qualifications:

  • Medical secretary or medical office background
  • Previous scheduling experience
  • Bilingual skills
