Description:

The Office Services Clerk supports the daily operations of the firm by providing responsive, high-quality support for mail services, document production, facilities coordination, conference room setup, reception coverage, supply management, and special projects. This role requires excellent customer service, strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality in all client and firm matters.

Requirements:

Essential Duties and Responsibilities

  • Manage mail processing, sorting, delivery, shipping, courier services, and large mailing projects.
  • Coordinate document production services, including copying, printing, scanning, binding, formatting, OCR, searchable PDFs, and quality control for client and internal materials.
  • Operate and troubleshoot office equipment, including printers, copiers, scanners, multifunction devices, and other production equipment; coordinate service requests with vendors as needed.
  • Maintain organized conference rooms, common areas, supply rooms, kitchens, and workspaces; manage inventory and reorder office, kitchen, and production supplies.
  • Assist with conference room reservations, meeting and event setup, food and beverage coordination, audiovisual needs, and post-event cleanup.
  • Provide backup coverage for reception and general office support functions.
  • Support file management, data entry, document indexing, filing, scanning, record retention, and document management system organization.
  • Assist with office moves, workstation setup, facilities requests, and coordination with building management or vendors.
  • Provide professional, timely assistance to attorneys, staff, visitors, and internal clients while keeping stakeholders informed on request status.


Required Skills and Competencies

  • Proficiency with Microsoft Outlook and Microsoft Office; experience with Adobe, scanning tools, document management systems, OCR, and production equipment preferred.
  • Excellent verbal and written communication skills with a professional, service-oriented approach.
  • Strong organizational skills, attention to detail, and ability to prioritize and complete multiple tasks within established deadlines.
  • Ability to follow instructions, apply office policies and procedures, and work independently with minimal supervision.
  • Flexible team player with a positive attitude and willingness to assist across departments and office functions.
  • Ability to troubleshoot routine issues, maintain accuracy under time constraints, and support efficient office operations.
  • Availability to work standard business hours with occasional overtime, evening event support, or schedule adjustments based on business needs.


Education and Experience

  • One to three years of experience in office services, document production, facilities, mailroom, reception, customer service, or a similar professional services experience; law firm experience preferred.
  • High school diploma required; associate degree, technical training, or relevant office services experience preferred.

Physical Requirements

  • Ability to perform repetitive hand and wrist movements.
  • Ability to crouch, kneel, stand, walk, stoop, push, pull, and lift as necessary.
  • Ability to sit for extended periods.
  • Ability to stand or move for extended periods.
  • Ability to lift up to 50 pounds.
