JOB DESCRIPTION


POSITION: ESTIMATING COORDINATOR

LOCATION: Auburn Hills, MI


OBJECTIVE

The Estimating Coordinator provides routine and non-routine clerical and administrative support to the estimating department during the bidding process for multiple projects at one time. The Estimating Coordinator works full life cycle, from inception to final estimate status. This includes receiving and distributing of plans and pertinent information for bids in a timely manner.


KEY ACCOUNTABILITIES

  • Work in a team environment to share, delegate, and help distribute the workload.
  • Process bid documents from agencies/owners to ensure accurate and timely bid submissions.
  • Assemble, track, and prepare correspondence to ensure all documentation and communication is accurate and timely.
  • Coordinate with estimators, safety, and marketing on any required pre-qualification documentation and/or marketing materials needed at bid submission. This may include safety statistics, organizational charts, and/or resumes.
  • Navigate a variety of customer- and owner-specific websites for access to bid documents and submission.
  • Assist with the printing of bid documents including specifications and drawings.
  • Variety of administrative office support functions to ensure that daily operations of the department run efficiently.
  • Coordination of subcontractor database for ongoing accuracy providing estimators with a source of a variety of trades to access for invite purposes.
  • Tracking of all disadvantaged businesses in the database to help meet the needs of RFQ participation requirements.
  • Tracking of the estimated value of each bid, final bid total submitted, fees, etc. for analysis of hit ratios and other reports showing trends.
  • Assist in transition from estimating to project management when the quote process is successful.
  • Follow ISO 9001 and 14001 requirements as dictated by leadership for a thorough flow of documentation and record-keeping.
  • Participate in the audit process to ensure files (electronic and paper) are being maintained accurately and thoroughly.


CORE COMPETENCIES

  • Associate's degree preferred.
  • Knowledge of the Construction Industry is desired.
  • Ability to work as a team member with multiple Estimators and Estimating Coordinators.
  • Strong communication skills (verbal/written).
  • Ability to work under pressure to meet deadlines.
  • Ability to provide various levels of support to a diverse group of estimators.
  • Strong attention to detail is required.
