POSITION OVERVIEW:
Startec Corporate Services is currently searching for an HR Coordinator to work at our Shepard office location (9423 Shepard Road SE. Calgary, Alberta T2C 4R6)
This role is ideal for a detail-oriented and highly organized professional who thrives in a fast-paced, team-based environment. The HR Coordinator will play a critical role in employee documentation, HR system integrity, compliance support, and delivering a seamless employee experience.
KEY PERFORMANCE INDICATORS (KPI):
ONBOARDING & TALENT ACQUISITION COORDINATION (Weighting 35%)
  • Coordinate and deliver new hire orientations to enhance employee engagement and understanding of Startec's culture, policies, programs, and procedures.
  • Manage onboarding activities, including preparing new hire documentation, arranging system access, and ensuring all onboarding requirements are completed to support a seamless new hire experience.
  • Ensure all onboarding documentation is accurate, compliant, and completed in a timely manner.
  • Assist hiring managers and the HR team throughout the hiring and onboarding process to ensure a positive candidate and new hire experience.
EMPLOYEE SERVICES & ADMINISTRATION (Weighting 20%)
  • Prepare and maintain employee documentation, including employment agreements, compensation change letters, transfers, promotions, and termination documentation.
  • Respond to employee inquiries regarding company policies, procedures, employment status, and HR processes.
  • Support the implementation of approved employee lifecycle changes by preparing documentation and coordinating communication with Payroll and other internal stakeholders.
  • Provide administrative support for employee letters, employment verification requests, and other employment-related documentation.
HUMAN RESOURCES RECORDS (Weighting 20%)
  • Maintain employee master data using spreadsheets, tracking logs and ERP system.
  • Update and monitor records for leaves of absence, certifications, and other employee lifecycle milestones.
  • Support HR data integrity by maintaining accurate employee records, validating documentation, and resolving data discrepancies as required.
  • Prepare and distribute routine HR updates, including employee status changes, leaves of absence, and terminations, to support effective communication and workforce planning.
  • Ensure electronic and physical personnel files are accurate, organized, confidential, and maintained in accordance with record retention requirements.
LEAVES & BENEFITS ADMINISTRATION (Weighting 15%)
  • Track employee leaves of absence and ensure all documentation is complete and appropriately communicated.
  • Maintain and update manual leave trackers for various types of leaves (personal leave, disability, etc.).
  • Provide administrative support for disability and leave management processes, including preparing documentation, completing employer forms, and coordinating information requests, as required.
  • Respond to routine employee questions about benefits coverage, eligibility, and other employee perks.
HR POLICIES & PROGRAMS SUPPORT (Weighting 10%)
  • Share feedback on the effectiveness and completeness of HR policies and programs with the HR Manager
  • Conduct research to support the improvement of HR policies and programs
  • Assist with HR initiatives and special projects by preparing materials, maintaining templates, coordinating activities, and supporting implementation.
  • Support the coordination and logistics for social committee events, employee appreciation initiatives, leadership & culture training, and other employee engagement related programs.
  • Maintain employee emergency contact and anniversary milestones, liaise with IT to maintain accurate distribution lists.
QUALIFICATIONS:
  • Certificate or Diploma in Human Resources, Business Administration, or related field preferred.
  • 0–3 years of experience in an HR administrative, coordinator or other entry level role.
  • Proficient in Microsoft Excel, Word, and Outlook (advanced spreadsheet skills are required).
  • Strong attention to detail and excellent organizational skills.
  • Ability to handle confidential information with integrity and discretion.
  • Clear and professional communication skills (verbal and written).
  • Proven ability to manage multiple priorities in a deadline-driven environment.
  • Friendly, team-oriented approach with a willingness to support cross-functional initiatives.
