BE THE CEO OF YOUR JOB 

The Property Assistant position is responsible for supporting regional operational infrastructure across Real Estate Operations. This role ensures accurate system administration, documentation control, vendor compliance tracking, fleet coordination, and project tracking within an assigned region.

 YOUR KEY RESPONSIBILITIES   

  • Administrator for regional work order and purchase order systems
  • Oversees regional invoice routing and documentation accuracy withing established workflows
  • Maintains contractor insurance documentation and vendor compliance record
  • Organized and submits required inspections, warranties, and compliance documentation into designated systems
  • Manages regional master files including purchase orders, completed capital projects, and maintenance documentation
  • Maintains regional project tracking logs and generates reminders for time-sensitive initiatives
  • Oversees leased fleet coordination including tracking, invoicing organization, fuel documentation, and reporting support
  • Supports regional budget planning by organizing fleet and operational data as requested by leadership
  • Completes day-to-day tracking of paperwork and data entry.
  • Manages door and access control coordination for tenants and employees within assigned region
  • Oversees security camera system coordination within assigned region
  • Reviews and monitors system data integrity within Yardi and related operational platforms
  • Assists in preparation of regional operational reporting packages as requested
  • Coordinates cross-functional meetings, documentation, and follow-up tracking for regional initiatives
  • Supports both Facilities Directors and Real Estate Managers with regional administrative projects
  • Completes day-to-day tracking of paperwork and data entry
  • Assists with miscellaneous regional projects as assigned
  • All other duties as assigned

 QUALIFICATIONS REQUIRED  Education 

  • High school diploma or equivalent

Experience and/or Training 

  • Strong organizational and administrative experience
  • Experience coordination documentation, compliance, or system administration
  • Strong written and
  • Ability to manage multiple priorities independently
  • Strong commitment to a team-oriented approach.
  • Strong personal skills to interact with tenants, vendors, contractors, and HCP Management

Technology/Equipment 

  •  Proficiency in Microsoft Office including Word, Excel, and Outlook.
