Position Overview
Kiewit is seeking a highly organized and detail-oriented Construction Project Administrator to support the Mobile Bridge Project. This role is critical to ensuring efficient project operations through administrative coordination, reporting, document management, and financial tracking. The ideal candidate will be a technology-savvy professional with advanced Microsoft Excel skills, strong analytical abilities, and exceptional attention to detail.
This position will support project leadership and multiple departments by maintaining project records, tracking budgets and expenses, coordinating meetings and travel, and producing accurate reports that support project decision making.
Location
This position is based in our Project Office located in Downtown Mobile, Alabama. Travel to the project site may be required. #LI-RP1
Responsibilities
Project Administration & Coordination
  • Provide day-to-day administrative support to project leadership and project teams.
  • Coordinate meetings, prepare agendas, distribute meeting materials, and track action items.
  • Arrange travel, accommodations, and logistics for project personnel.
  • Manage project correspondence, including phone, email, and document distribution.
  • Support team-building initiatives and project-related events.

Reporting & Data Management
  • Maintain project databases, logs, trackers, and reporting tools.
  • Create, update, and analyze spreadsheets to support project operations and reporting needs.
  • Compile project metrics, budgets, labor data, and cost information into management reports.
  • Prepare recurring and ad hoc reports for project leadership.
  • Ensure the accuracy and integrity of project records and documentation.

Financial & Administrative Support
  • Process and reconcile expense reports, invoices, and purchasing card transactions.
  • Assist with budget tracking and financial reporting.
  • Monitor project expenditures and maintain supporting documentation.
  • Support project procurement and purchasing activities as required.

Communication & Documentation
  • Assist with internal and external communications, including document preparation, proofreading, and formatting.
  • Support development of presentations, project updates, and project branding materials.
  • Organize and maintain electronic and hard-copy filing systems.
  • Ensure confidentiality of sensitive project, employee, and financial information.

Qualifications
  • Minimum 1 year of administrative, project coordination, or office support experience.
  • Advanced proficiency in Microsoft Excel, including:
    • Pivot Tables
    • VLOOKUP/XLOOKUP
    • Conditional Formatting
    • Data Analysis and Reporting
    • Complex Formulas and Spreadsheet Management
  • Strong computer skills with demonstrated proficiency in Microsoft Office, including Word, PowerPoint, and Outlook.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Exceptional attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Preferred Qualifications
  • Associate's or Bachelor's degree in Business Administration, Project Management, Accounting, Construction Management, or a related field.
  • Previous experience supporting construction projects, engineering teams, or large infrastructure projects.
  • Experience working with financial tracking, reporting, and document control processes
