ESI is now hiring a Front Desk Intake Specialist for a growing Law Firm in Stuart, FL

POSITION SUMMARY:


ESI is seeking a Front Office Intake Specialist who is responsible for new client intakes, answering and routing calls, and being a professional first point of contact for the law office. We are hiring for a busy, fast-growing law firm looking for a friendly, organized, and reliable Intake Specialist. This is an excellent entry-level opportunity for someone who enjoys helping people, keeping an office running smoothly, and learning new skills. No prior legal experience is required — we will train the right candidate.


QUALIFICATIONS:


  • Excellent written and verbal communication skills
  • Strong attention to detail and organization skills
  • Ability to multitask efficiently
  • Professional appearance and demeanor towards Clients
  • Familiarity with the Microsoft Office Suite
  • Ability to manage an online calendar
  • Familiarity with the Case Management System, MyCase, is a plus, but is not required
  • Prior Similar Experience Preferred
  • Ability to walk, stand, stoop, bend, push a cart, or lift during the entire shift
  • Ability to lift up to 25 pounds, including small packages and supplies


DUTIES AND RESPONSIBILITIES:


  • Answer incoming calls, take clear messages, and schedule appointments.
  • Speak with potential clients, gather basic information, and enter new leads into our case-management system (MyCase).
  • Prepare consultation folders and ensure all documents are ready for the attorney.
  • Assist with new client onboarding, including sending fee agreements, collecting IDs, and processing payments.
  • Send welcome emails and update client files once they hire the firm.
  • Keep office supplies stocked and place 1–2 monthly supply orders.
  • Maintain the printer area, envelopes, labels, and general office organization.
  • Sort and distribute daily mail; handle FedEx/UPS shipments and upload receipts.
  • Keep the office tidy, including taking out trash and cleaning shared kitchen items.
  • Scan, organize, and upload documents into MyCase.
  • Create folders/binders for hearings, depositions, and mediations.
  • Redact documents as instructed.
  • Schedule calls and virtual meetings for attorneys and paralegals.
  • Organize, scan and correctly file documents in case management system or other designated locations.
  • Enter attorney timesheets daily.
  • Prioritize tasks when multiple staff members assign work.
