Key responsibilities

  • Manage, train, develop, and hold office team members accountable

  • Oversee bookkeeping, accounts receivable, collections, and payroll processes

  • Assist with recruiting, hiring, onboarding, and handle day-to-day HR and personnel matters

Job description

Benefits:
  • Competitive salary
  • Paid time off

SERVPRO of Dunedin/Palm Harbor South is hiring an experienced Office Manager to lead our office operations, accounting functions, and administrative team.

This is not an entry-level administrative position. We are looking for an experienced Office Manager who has managed employees and has hands-on experience with QuickBooks Online, accounts receivable/collections, payroll, bookkeeping, and HR-related responsibilities.

Experience working for a construction, restoration, HVAC, plumbing, roofing, or other service-based company is strongly preferred.

Key Responsibilities
  • Manage, train, develop, and hold office team members accountable
  • Assist with recruiting, hiring, onboarding, and employee documentation
  • Handle day-to-day HR and personnel matters for the office team
  • Oversee bookkeeping and accounting processes using QuickBooks Online
  • Manage accounts receivable and collections, including actively following up on outstanding balances
  • Oversee or process payroll and maintain accurate payroll records
  • Review invoices, payments, customer accounts, and financial records for accuracy
  • Monitor job-related financial information and assist with job costing
  • Review financial and franchise performance reports
  • Maintain organized and accurate company, employee, customer, and job records
  • Help develop and maintain efficient office procedures and internal controls
  • Ensure administrative deadlines and company procedures are consistently followed
  • Work closely with ownership and department managers to resolve operational and financial issues
  • Help maintain a professional, accountable, and high-performing office environment
Required Qualifications
Applicants should have:
  • 5+ years of office management, accounting/bookkeeping, or similar administrative leadership experience
  • Previous experience managing and supervising employees
  • Strong hands-on QuickBooks Online experience
  • Bookkeeping/accounting experience
  • Accounts receivable and collections experience
  • Payroll experience
  • Experience with hiring, onboarding, employee documentation, and other HR responsibilities
  • Strong understanding of professional office procedures and internal controls
  • Excellent written and verbal communication skills
  • Strong organizational skills and exceptional attention to detail
  • Ability to prioritize and manage multiple responsibilities in a fast-paced environment
  • Strong computer skills, including Microsoft Outlook, Word, and Excel
  • Ability to learn new software and systems quickly
  • Ability to successfully complete a background check subject to applicable law
Strongly Preferred
We are especially interested in candidates with previous Office Manager or accounting/administrative management experience in:
  • Construction
  • Property restoration
  • HVAC
  • Plumbing
  • Roofing
  • Electrical
  • Property management
  • Home services
  • Other project-based or service businesses
Experience with job costing, subcontractors, vendor management, insurance-related work, or Xactimate® is a plus.
Who Will Be Successful in This Role
The right person is more than an administrator. You should be comfortable managing people, handling financial responsibilities, solving problems, enforcing procedures, and holding others accountable.

You should be able to work independently, identify problems before they become larger issues, and take ownership of the office's administrative and financial processes.
If your experience is primarily as a receptionist, administrative assistant, or customer service representative without significant management, QuickBooks/bookkeeping, payroll, and accounts receivable experience, this position is likely not the right fit.

Education
  • High school diploma or GED required
  • Associate or Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field preferred
Physical Requirements
This position is primarily performed in an office environment. Some filing is required and may involve lifting files, opening filing cabinets, bending, and standing as necessary.
