Summary of Position

The Account Coordinator is an integral part of the team responsible for the successful management, support, and production of our experiential programs. Reporting to a senior Account team member, this person performs essential coordination duties across the planning, development, activation, and wrap-up stages of both client programs and internal agency initiatives.

For this entry-level role, we are looking for a enthusiastic professional with a strong passion for lifestyle brands spanning restaurants, dining culture, travel & hospitality, retail pop-ups, and brand sponsorships. The Account Coordinator helps ensure the highest quality of service across client deliverables, keeping projects organized and executed with professionalism, accuracy, and timeliness.

Essential Job Functions

  • Project & Team Administration: Prepare client-facing and internal materials, status documents, meeting agendas, and weekly recaps.
  • Lifestyle & Sponsorship Research: Assist with research and audit decks covering cultural trends, competitive lifestyle campaigns, venue scouting (restaurants, hotels, retail spaces), and potential brand sponsorship opportunities.
  • Deliverable Tracking: Support the tracking of timelines and deliverables across cross-functional teams (Production, Creative, Strategy, Tech), keeping core project management trackers updated in real time.
  • Meeting Facilitation & Action Items: Participate in weekly internal and client status meetings, capturing detailed notes, action items, and next steps for prompt distribution.
  • Pre-Production Support: Ensure assigned areas of program planning—such as vendor outreach, retail/merchandise sourcing, restaurant reservation coordination, and sample tracking—are completed on schedule.
  • Onsite Event Execution: Assist with ground-level logistics, sponsor activation booths, VIP hospitality check-ins, retail display setups, and brand ambassador coordination during live event executions.
  • Post-Event Wrap-Up: Participate in event debriefs, gathering photo/video assets to build client recap decks and compile performance metrics for KPI reporting.
  • Agency Culture & Initiatives: Join or lead internal agency committees, cultural task forces, and department offsite planning.

Desired Skills and Experiences

Education & Experience

  • BA/BS in marketing, business administration, hospitality, communications, or a related field.
  • Experience in marketing, promotions, hospitality, or events (including hands-on, onsite event execution experience). Experiential marketing agency experience is a plus.
  • Demonstrated Interest in Lifestyle Culture: A strong passion for and baseline understanding of lifestyle categories, including food & dining trends, hotel/travel experiences, retail activations, and sports or cultural sponsorships.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with internal teams, venue partners, and clients.
  • Detail & Organization: Exceptional organizational skills, high accuracy, and strong attention to detail when managing calendars, spreadsheets, and run-of-shows.
  • Multitasking: Ability to navigate competing priorities and tight deadlines with agility in a fast-paced agency environment.
  • Collaborative Mindset: A proactive team player who works well independently and collaboratively within cross-functional groups.

Essential Knowledge, Skills, and Abilities

  • Cultural & Digital Pulse: Up-to-date knowledge of social media trends, viral pop-culture moments, lifestyle influencers, and emerging retail/dining concepts.
  • Brand Integrity: Basic understanding of brand management standards, ensuring client brand guidelines are consistently upheld across event collateral, sponsor signage, and onsite environments.
  • Relationship Building: Ability to connect with clients, vendors, and team members authentically while respecting diverse perspectives.
  • Creative Curiosity: Willingness to bring fresh, creative ideas to brainstorms and extend beyond basic assignments to drive innovation.

Other Qualities and Requirements

  • Natural Curiosity: A drive to constantly learn and explore emerging trends across travel, dining, retail, and experiential marketing.
  • Schedule Flexibility: High energy and willingness to work non-traditional hours (including evenings and weekends as event schedules demand).
  • Physical Capability: Ability to lift up to 25 pounds and stay on your feet for extended periods during onsite builds and activations.
  • Travel & Office Hybrid: Willingness to work a hybrid schedule (at least 2 days in-office) and travel up to 50% of the time for site visits, vendor walkthroughs, and live event activations.

Compensation Range: $70,000 - $85,000 annually. This is the pay range OBE believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the level of experience, relevant skills, professional certifications, market pay, and demand for the role. OBE reserves the right to modify this pay range at any time. For this role, Benefits include medical/dental/vision insurance, employer-paid basic life and personal accident insurance. Also included: Annual Profit Sharing/Bonus Plan based on the company's performance and your individual performance, 401(k), Healthcare Flexible Spending Account, Dependent Care Flexible Spending Account, PTO, STD/LTD insurance benefits.
