Vaco is partnering with an Arizona-based technology organization to hire a Project Coordinator supporting a data leadership team. This is a junior-level project support role ideal for someone who is highly organized, proactive, polished in communication, and comfortable helping keep a busy team moving.

This role is less about formal project ownership and more about operational coordination: tracking timelines, organizing follow-ups, preparing polished PowerPoint and Excel materials, maintaining project documentation, supporting light calendar coordination, and helping the team stay aligned. The right person will be detail-oriented, resourceful, and comfortable working in a fast-moving environment where priorities can shift.

The role requires onsite presence Monday through Thursday in Tempe. 

What You’ll Be Doing
  • Support project tracking, task management, timelines, and follow-up items for the Data team
  • Prepare polished PowerPoint decks, Excel trackers, and leadership-facing documents
  • Track project action items, owners, deadlines, and status updates to help keep work moving
  • Support light calendar coordination, meeting scheduling, and agenda preparation
  • Take meeting notes and summarize decisions, next steps, and open items
  • Help manage project time tracking, timesheets, and basic budget tracking
  • Assist with financial tracking and reporting, including awareness of CAPEX versus OPEX spend
  • Maintain org charts, team documentation, project lists, and internal reference materials
  • Help plan and coordinate team activities, meetings, and internal events
  • Communicate clearly with team members and stakeholders to ensure priorities and expectations are understood
  • Provide general administrative and coordination support to technology leadership as needed
Required Experience
  • 2 or more years of experience in project coordination, project administration, executive support, team coordination, or a similar role
  • Strong PowerPoint skills with the ability to create polished, professional presentation materials
  • Strong Excel skills for tracking, organizing, and summarizing project or financial information
  • Experience tracking tasks, deadlines, meeting notes, and project follow-ups
  • Strong written and verbal communication skills
  • High attention to detail and ability to manage multiple priorities at once
  • Comfort working in a fast-paced team environment with evolving needs
  • Ability to stay organized, follow through, and keep others on track without needing heavy direction
Nice to Have
  • Experience supporting technology, data, analytics, or software teams
  • Familiarity with Jira, Confluence, Smartsheet, or similar project tracking tools
  • Exposure to budget tracking, timesheet management, invoicing, or financial reporting
  • Basic understanding of CAPEX and OPEX
  • Experience supporting project releases or technology delivery cycles
Compensation
  • Contract role paying up to $30 per hour
  • Possibility for extension or conversion
