OVERVIEW
Step into a career-defining opportunity with Orano USA, a global leader in nuclear innovation, as we launch Project IKE-a cutting-edge uranium enrichment facility in Oak Ridge, Tennessee. As the Global Mobility Specialist you'll be at the forefront of building one of the most advanced clean energy infrastructures in the country.
The Global Mobility Specialist serves as a primary point of contact and operational support for international assignees relocating to Orano Enrichment USA, in Oak Ridge TN. This entry-level role is responsible for coordinating relocation logistics, supporting immigration processes, managing cost tracking and expense reimbursements, and delivering an exceptional experience for incoming expatriates and their families from pre-arrival through full integration. The role requires strong policy orientation: the coordinator is expected to apply company mobility policies consistently, manage exceptions through proper escalation channels, and communicate clearly with assignees on all aspects of their compensation and benefits package.
KEY RESPONSIBILITIES:
1. Relocation Coordination
  • Coordinate with external relocation service providers (DSPs) to ensure timely and high-quality delivery of end-to-end relocation services for inbound assignees.
  • Maintain accurate and up-to-date assignment records throughout the assignee lifecycle.
  • Provide assignees and their families with pre-arrival orientation materials, welcome packs, and local area guides.
  • Track and manage cost estimates for each assignment; reconcile estimated costs against actual cost and report variances to management.
  • Apply the company mobility policy consistently across all cases; identify any out-of-policy requests, clearly communicate policy boundaries to assignees, and escalate exceptions through the appropriate approval channels.

2. Immigration Support
  • Work closely with external immigration counsel to coordinate visa, work permit, and residence permit applications for inbound assignees.
  • Track immigration deadlines and ensure timely filing of all required documentation.
  • Communicate immigration requirements and timelines clearly to assignees and their managers.
  • Maintain compliance checklists and ensure all immigration-related documents are properly stored and updated.
  • Support dependent visa and permit applications as required.

3. Tax Support
  • Coordinate with external tax advisors to ensure timely and high-quality delivery of tax return preparation
  • Work with the external tax consultant on all gross-up calculations and hypothetical tax (hypo-tax) computations to ensure accurate net pay for assignees.
  • Serve as the primary point of contact between assignees and the tax advisor, ensuring all required personal tax data is collected and shared on schedule.
  • Explain gross-up calculations, hypo-tax deductions, and tax equalization principles to assignees in clear, accessible language.
  • Coordinate with the Payroll team to ensure that gross-up and hypo-tax amounts are correctly reflected in payroll processing.
  • Track tax-related deadlines and maintain compliance documentation for each assignee.
  • Respond to assignee questions related to tax obligations, salary calculations, and tax reimbursement processes; escalate complex tax matters to the external advisor or senior Global Mobility Manager as appropriate.

4. Assignee Experience & Communication
  • Serve as the primary day-to-day contact for inbound assignees during the relocation and onboarding phase.
  • Proactively communicate key milestones, next steps, and actionable timelines to assignees and internal stakeholders.
  • Address assignee inquiries related to relocation logistics, immigration status, expense reimbursements, salary calculations (including gross-up), cost-of-living adjustments, and local resources in a timely and empathetic manner.
  • Clearly explain the scope and limits of the mobility policy to assignees; professionally decline requests that fall outside the policy and direct assignees to the appropriate escalation path.
  • Escalate complex issues or out-of-policy exception requests to the senior Global Mobility Manager as appropriate.

5. Administration & Compliance
  • Process relocation expense reimbursements in accordance with company policy and applicable tax guidelines; verify that submissions are within policy before approval.
  • Prepare and maintain cost estimates for each assignment; reconcile estimates against actual spend and flag significant variances.
  • Coordinate with Payroll, Finance, and HR Business Partners to ensure accurate payroll setup, allowance payments, gross-up amounts, and hypo-tax deductions.
  • Track and report on mobility data, including headcount, cost summaries, and compliance metrics, as requested by management.
  • Support mobility data audits and internal reporting processes.
  • Maintain the confidentiality of all assignee personal data in compliance with applicable data protection regulations (e.g., GDPR).

Requirements
  • Bachelor's degree in Human Resources, International Business, Finance, Communications, or a related field.
  • 1-5 years of experience in global mobility, relocation services, immigration coordination, or a related field; internship or co-op experience considered.
  • Demonstrated comfort with data tracking, cost estimation, and financial calculations, including gross-up and cost-of-living adjustments.
  • Strong organizational skills with the ability to manage multiple concurrent cases and deadlines.
  • Detail-oriented with a commitment to accuracy and data integrity.
  • Excellent written and verbal communication skills; comfortable liaising with international assignees and cross-functional teams.
  • Ability to apply policies consistently, communicate boundaries clearly, and professionally decline requests that fall outside established guidelines.
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

PREFERRED
  • Familiarity with global mobility concepts including assignment structures, relocation packages, immigration basics, and tax considerations (hypo-tax, gross-up, tax equalization).
  • Experience working with relocation management companies (RMCs) or immigration law firms.
  • Knowledge of a second language is an asset.
  • International living, study, or work experience is a plus.
