Job description

Marketing Operations Coordinator – Chicago-Based | On-Site

Why Join Midwest Express Clinic
At Midwest Express Clinic, “Express is our middle name.”
We deliver fast, high-quality healthcare with heart — providing a convenient alternative to ER visits and traditional doctor’s appointments for non-emergent care.
We are one of the fastest-growing urgent care providers in the Midwest, with 50+ clinics and continued expansion ahead.
Our culture is grounded in PACT:
  • 💙 Positive – we bring solutions and energy
  • 💪 Accountable – we own outcomes
  • 🫶 Compassionate – we care for patients and each other
  • 🤝 Teamwork – we win together

This is a place where you can make an impact quickly, grow your career, and be part of building something meaningful.

The Role
We are seeking a highly organized, execution-focused Marketing Operations Coordinator to help drive accountability, communication, and operational excellence across all marketing initiatives. This is not an entry-level role. The ideal candidate brings experience coordinating marketing programs, managing vendors, tracking budgets and performance metrics, and supporting multiple concurrent projects in a fast-paced environment.
This role serves as a key connector between internal stakeholders, agency partners, vendors, and field operations. Success requires strong project management skills, attention to detail, business acumen, creativity, and the ability to keep projects moving from concept through execution.
The Marketing Operations Coordinator will play a critical role in ensuring flawless day-to-day execution across paid and organic marketing channels for MEC's growing footprint. This is an operational execution role: content strategy and campaign initiatives are led by MEC's agency partner, Amplified, while this role owns the account management, audits, creative trafficking, and channel spend tracking that keep those campaigns running cleanly. This role reports to the Chief of Staff.
What You’ll Own
Core Responsibilities
  • Own day-to-day execution across paid and organic channels, ensuring campaigns launch on time, run cleanly, and stay aligned to objectives
  • Conduct regular audits of ad accounts, campaigns, tracking, and creative to catch issues, surface inefficiencies, and flag opportunities before they become problems
  • Manage the creative pipeline end to end — briefing, reviewing, and trafficking assets — with a strong eye for what makes creative perform
  • Review and understand channel spend to ensure budgets are deployed as intended and spend is tracking correctly (budget planning and forecasting are owned by Finance/Analytics)
  • Proactively identify areas of improvement across channels and bring forward new ideas, tests, and tactics rather than waiting for direction
  • Keep marketing initiatives on track against timelines and priorities, providing concise status updates and flagging anything that needs escalation
  • Serve as the operational point of contact for marketing execution, reducing the need for hands-on oversight from leadership
Technical & Platform Skills
  • Hands-on fulfillment experience in Meta Ads Manager and The Trade Desk (or a comparable DSP), including campaign build, audience setup, and trafficking
  • Strong working knowledge of Google Ads — able to build, manage, and independently audit accounts for structure, targeting, tracking, and wasted spend
  • Comfortable auditing pixel/tag implementation, conversion tracking, and platform configuration to ensure data is flowing correctly
  • Able to read performance reporting and translate it into tactical adjustments (without owning the deeper analysis function)
Vendor & Agency Management
  • Serve as a primary liaison between MEC leadership and marketing agencies, vendors, and external partners
  • Track agency deliverables, timelines, and performance expectations
  • Monitor vendor accountability against agreed-upon goals and KPIs
  • Coordinate recurring agency meetings and follow-up communications
  • Assist with vendor onboarding, contracts, and invoice tracking

Budget & Spend Monitoring
  • Monitor marketing budgets and spending across multiple initiatives
  • Review invoices and maintain accurate expense tracking
  • Track and report key marketing metrics, campaign performance, and vendor results
  • Maintain marketing dashboards and KPI scorecards
  • Help evaluate return on investment across marketing programs
Analytics & Reporting
  • Maintain marketing dashboards and reporting tools
  • Analyze campaign performance and identify opportunities for improvement
  • Prepare recurring reports for leadership review
  • Ensure data accuracy and reporting consistency
Qualifications
Required
  • Bachelor's degree in Marketing, Communications, Business, or related field
  • 2+ years of similar experience in marketing coordination, marketing operations, or project coordination
  • Experience working with marketing agencies, vendors, or external partners
  • Experience managing multiple projects simultaneously
  • Strong organizational and follow-through skills
  • Excellent written and verbal communication skills
  • Advanced proficiency with Microsoft Office, particularly Excel and PowerPoint
  • Experience tracking budgets, invoices, or project expenses
  • Ability to work independently while managing competing priorities
  • Hands-on experience managing campaigns in Meta Ads Manager, Google Ads, and a DSP (e.g., The Trade Desk), including audience setup, trafficking, and account audits

Preferred
  • Healthcare, multi-site retail, franchise, or consumer services experience
  • Experience in a fast-paced, highly competitive, or performance-driven business environment (e.g., multi-site, franchise, PE-backed, or similarly high-growth organization)
  • Experience with project management platforms
  • Familiarity with Canva, Adobe Creative Suite, or similar design tools
  • Experience utilizing AI tools to improve marketing efficiency and execution

What Success Looks Like
A successful Marketing Operations Coordinator will:
  • Improve visibility and accountability across all active marketing projects
  • Ensure agency and vendor deliverables are tracked and executed on time
  • Maintain accurate marketing budget and spend tracking
  • Improve marketing KPI reporting and performance visibility
  • Create scalable processes that improve marketing organization and execution

Compensation
The expected salary range for this position is $75,000-80,000 + bonus potential depending on experience, skills, and qualifications.
