BASIC PURPOSE

The purpose of this position is to do Administrative Assistant duties that are necessary to manage the day-to-day work of the Finance Department. Duties also include data entry, audit preparation, scheduling and to assist with account reconciliations. Data entry for DHQ Finance Department while ensuring that all policy and procedure guidelines are upheld.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administrative support for the Divisional Finance Secretary and Finance team (filing, tracking requests, documentation)
  • Serve as TSAMM Command Administrator, including user setup and maintenance
  • Manage Finance Web authorization levels and updates
  • Process and track JPMorgan Chase corporate credit card requests and changes
  • Maintain and update the Finance landing page and internal resources
  • Assist in updating, organizing, and distributing finance forms, policies, and procedures
  • Respond to general finance inquiries and route requests appropriately
  • Provide system logistics updates whenever changes to Division Officers and Staff affect the Finance department.
  • Working with meeting coordination, scheduling, and preparation of supporting materials.
  • Special projects as assigned
  • Coordinate and track workflow items such as invoices, approvals and for up to ensure timely processing.
  • Maintain and organize electronic and physical files in accordance with audit standards.
  • Audit preparation
  • Assist with basic accounting tasks such as data entry, report preparation, and reconciliations as assigned
  • Support processing and data entry of Corps Accounts Receivable and Accounts Payable in a timely manner
  • Assist in the processing of check batches
  • Support reviewing vouchers for policy and procedures and General Ledger coding
  • Maintain working knowledge of the Chart of Accounts and proper coding practices
  • Assist with corps training and other staff as needed
  • Generating Reports & reconciliation spreadsheets
  • Vendor Maintenance
  • Other related duties as assigned.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS

  • High School Diploma or GED.
  • Two years' experience in the accounting field, or equivalent education.
  • Must be computer literate and able to work in Microsoft Word, Excel and Outlook or email program with a high level of accuracy and attention to detail.
  • Experience with Shelby and Vivid software preferred.
  • Must be able to understand, follow and receive English written and oral instructions.
  • Ability to speak, read, comprehend, write and communicate effectively in the English language and in a professional manner.
  • Ability to maintain patience and courtesy in dealing with a wide range of people and their needs.
  • Must be well organized, self-motivated, flexible, and possess good people skills.
  • Ability to address multiple projects in a time sensitive manner is essential.
  • Must possess the self-discipline necessary to perform repetitive tasks without lowering quality of work.
  • Must be able to maintain confidentiality.
  • Ability to maintain highest level of security in addressing oral and written communications as well as the filing of correspondence to protect the integrity.

PHYSICAL REQUIREMENTS:

  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
  • This position is primarily sedentary and requires the ability to remain at a keyboard for periods of up to two hours with minimal interruption. Ability to operate a keyboard is essential.
  • Specific vision abilities required by this position include close vision.
  • Must be able to use speech and hearing for both ordinary and telephone conversation.
  • Ability to grasp, push, and/or pull objects.
  • Ability to reach overhead.
  • Ability to operate telephone.
  • Ability to regularly lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.
  • Ability to operate a computer.
  • Ability to process written, visual, and/or verbal information.
