Job description

The Leffell School, a K-12 Jewish independent school committed to academic excellence and

community engagement, seeks a highly organized, detail-oriented, and proactive Advancement Associate to join our team. This is a full-time, 12-month,

in-person position responsible for providing critical administrative, operational, and logistical

support across communications, advancement, and institutional events.

Key Responsibilities

Communications System Management

  • Platform Coordination: Collaborate with the Communications Director to load, test, and schedule incoming email requests from all school departments.
  • Newsletter Production: Work closely with the communications team to gather and input relevant information into weekly and periodic communications, including the Shabbat Shalom Friday newsletter, weekly PTO Post, and the alumni newsletter.
  • Brand & Design: Partner with the Communications Director to maintain The Leffell School's branding guidelines across all written and digital communications. Create simple, visually appealing graphics and fliers using Canva.

Data & Research Operations

  • Donor Research: Conduct initial research on alumni, grandparents, and prospective donors to help the CAO prepare for strategic meetings and assist in the upcoming Capital Campaign.
  • Alumni Engagement: Partner with the alumni team to develop innovative programming and outreach to encourage young alumni to begin their philanthropic relationship with The Leffell School.

Executive Administrative Support

  • Calendar Management: Coordinate schedules for the Chief Advancement Officer (CAO) and maintain the master communications calendar to ensure all meetings and deadlines stay on track.
  • Financial Admin: Manage expense reports, track department receipts, and assist with ongoing budget monitoring.
  • Organization: Maintain digital and physical filing systems, ensuring all contracts, vendor agreements, and donor records are organized and easily accessible.

Events & Logistics (School-Wide)

  • Priority Groups: Support the Events Manager in logistical planning and engagement strategies, focusing on Alumni and Grandparents.
  • All-Hands Support: Provide crucial "day-of" execution and operational support for all major school-wide events.
  • Special Initiatives: Work directly with the CAO on large-scale events, including the Israel Day Parade and Faculty & Staff Appreciation Week.
  • Vendor & Supply Prep: Manage the ordering of school swag and prepare thoughtful speaker gifts for school-wide needs.

Qualifications

  • High level of organization with a sharp eye for detail and data accuracy.
  • Strong written and verbal communication skills.
  • Proven ability to multitask, prioritize tasks, and meet deadlines in a fast-paced and exciting environment.
  • A collaborative team player with a proactive, problem-solving approach to workflow.
  • Proficiency in Google Workspace (G Suite) and an aptitude for learning new database and communication systems.
  • Familiarity with Canva or basic graphic design principles is a plus.
  • Familiarity with Judaism, Jewish holidays, and Hebrew is beneficial but not required.

Compensation and Benefits

  • Schedule: Full-time, entry-level, year-round position. Mondayโ€“Thursday, 8:00 a.m. โ€“4:00 p.m., and Friday, 8:00 a.m. โ€“ 2:30 p.m. (or 1:30 p.m. from November to March). Limited weekend and evening hours are required for select school events.
