RWDI is seeking a dynamic Project Coordinator to join our Project Coordination Team in the Toronto office.  
The role includes but is not limited to: 
  • Track and maintain project leads, opportunities, and related data in the ERP system
  • Assist project managers with preparing and submitting proposals, ensuring accuracy and compliance with client requirements
  • Support proposal development by creating task structures, timelines, resource plans, and cost estimates
  • Write, edit, and format reports, project deliverables, and documentation.
  • Manage contracts, approvals, and supporting documentation, and coordinate contract reviews
  • Assist with invoices, payments, and purchase orders for suppliers, subcontractors, and consultants
  • Coordinate and track insurance documents for projects and subcontractors
  • Prepare and distribute project status reports, meeting notes, and action items; arrange project meetings
  • Maintain comprehensive project files, including contracts, drawings, specifications, and correspondence
  • Assist the project manager in developing project plans, budgets, milestones, and deliverables; monitor team activities to ensure on-time and on-budget delivery
  • Track scope changes, obtain client sign-off, and support project managers in overall project execution
  • Provides occasional front office and administrative support, including maintaining office supplies, coordinating contractors, and assisting with client and visitor reception as required
  • Works collaboratively with the Facility Director to ensure the requires day to day office/facility responsibilities are executed
Candidates need to also have the following qualifications:
  • Post-secondary diploma or certificate in office or business administration
  • Preferred consideration will be given to candidates with office experience in a client-facing environment and/or with project coordination in engineering/construction/environmental projects
  • Excellent verbal and written communication skills with a proven ability to deliver high-quality customer service 
  • Ability to operate at an advanced level in MS Office software
  • Exceptional organizational and administrative skills focused on meeting deadlines
  • Must be able to handle multitasking in a fast-paced team environment
  • Aptitude for attention to detail to ensure a high degree of quality assurance 
  • Flexibility in dealing with change and confidential information
  • Availability to work outside normal working hours to meet client deadlines
