The Specialist, Entertainment Operations supports the production of entertainment events featuring celebrity talent globally as well as associated administrative functions.

Principal Duties and Responsibilities (*Essential Duties)

  • Support the planning and production of USO entertainment events that feature celebrity talent; support key organizational special events.
  • Liaise with talent and talent representatives, including handling proprietary and confidential information, scheduling, processing liability waivers, processing contracts and processing military base access/travel documentation for event participants.
  • In coordination with the Communications team, support communication flow between departments, third party contractors, regional/local teams and other stakeholders.
  • Create as necessary and maintain military location profiles and database.
  • Manage data collection and data entry for all entertainment events using USO’s technology platforms.
  • Support budget development and tracking.
  • Track program measurement and create reports; maintain required event and participant information in data bases.
  • Support management and accounting requirements for third party contractors; support procurement requisitions including necessary contracts, quotes and competitive bids.
  • Provide general administrative support including processing invoices, credit card reconciliation and scheduling meetings.
  • Other duties as assigned.
  • This is an in-person position located in Arlington, VA.

Job Specifications

  • High School Diploma or equivalent required. Bachelor’s Degree in Communications, Marketing, Public Relations or related field preferred.
  • 3-5 years work experience in administrative or support role preferably in the sports or entertainment industry. Relevant experience in a not-for-profit, multicultural, corporate and/or global organization preferred.
  • Working knowledge and/or relevant experience in budgeting/financial systems/vendor processing/payments.
  • Willingness and ability to work non-standard hours and/or overtime as needed.
  • Working knowledge of music, TV, film, sports, pop culture. General awareness of complex cultural sensitivities of a variety of domestic and international locations.
  • Strong interpersonal skills and customer service skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
  • Proficiency using computers and electronics equipment. General knowledge of various software, applications and programs including but not limited to Microsoft Office Suite to include SharePoint. Prior experience using social media and online communication tools in a business environment preferred.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must be punctual, organized and self-motivated, with the ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic math and follow proper cash/donation handling and reporting procedures.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
