Job description

SUMMARY

Plan, oversee, organize and direct OCOM’s student services departments, which includes, admissions, student affairs, financial aid, registrar, student support (learning specialists), and behavioral health, and their associated programs and activities; ensure that assigned functions fulfill institutional goals and objectives; and supervise assigned staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide leadership in developing a unified vision for the delivery of student services across the entire enrollment continuum from admissions to graduation and beyond.
  • Provide leadership in developing communication, data sharing and integration of programs between Admissions, Registrar, Financial Aid, Student Affairs, Learning Specialists and Behavioral Health.
  • Provide oversight and direction to the Director of Admissions in the statistical analysis of admissions and enrollment data to develop effective recruitment and admissions strategies to meet OCOM’s enrollment goals.
  • Provide oversight and direction to the Director of Student Affairs and the Office of Student Affairs, including Student Life (council, organizations, community efforts and events), Career Counseling, Student Travel, Event Planning (Orientation, Match, Graduation), and Alumni Affairs.
  • Provide oversight and direction to staff within Student Affairs in directing activities related to the Honor Code, including writing appropriate policies and procedures, providing sessions to educate students and faculty, conducting investigations, and ensuring consistency in sanctions.
  • Provide oversight and direction to the Registrar in organizing and implementing the registration process for the DO program, maintenance of student records, degree and enrollment verifications, transcripts, local, state and federal enrollment data reporting, verification of completion of degree requirements for the graduation process, and ensuring compliance with FERPA and other regulatory requirements.
  • Provide oversight and direction to the Director of Financial Aid in the administration of the financial aid application process that ensures compliance with federal laws and regulations, institutional enrollment goals, verification of student information for initial and continued eligibility for financial aid (i.e., verification of satisfactory academic progress), full and proper use of the OCOM’s Student Information System, and administration of the scholarship programs.
  • Provide oversight and direction to the Learning Specialists in directing activities related to creating effective learning goals and individualized educational completion plans to enhance medical student success.
  • Provide oversight and direction to the Behavioral Health Specialist in directing activities related to providing individualized behavioral health services to OCOM students.
  • Provide oversight and direction to the Behavioral Health Specialist in directing activities related to providing individualized behavioral health services to OCOM students.
  • Provide oversight and direction in activities related to the Honor Code and Student Professionalism efforts, including writing appropriate policies and procedures, providing sessions to educate students and faculty, conducting investigations, and ensuring consistency in sanctions.
  • Recommends, develops, and implements student services policies, procedures, and practices that foster and promote student co-curricular learning; oversees student health insurance policies and procedures.
  • Oversight of student programs, services, and events that support the goals of OCOM.
  • Promote student success and retention through mentorship and guidance.
  • Engage in an analytical, empirical, data-driven approach to problem-solving and decision-making and facilitate a culture of evidence in enrollment management and student services.
  • Actively participate as a member of the Dean’s Leadership Team.

  • Serve as a Campus Security Authority for purposes of Clery Act Crime Reporting.
  • Serve as University 504/ADA liaison for OCOM
  • Support the OCOM-approved policies and ensure that they are adhered to throughout the student enrollment process
  • Ensure compliance with federal, state, university, college, and other outside agency rules and regulations
  • Ensures confidentiality of student records in compliance with the Family Educational Rights and Privacy Act (FERPA)

SUPERVISORY RESPONSIBILITIES

  • Interviewing, hiring, and training employee(s); planning, assigning, and directing work; appraising performance; rewarding and disciplining employee(s); addressing complaints and resolving problems.
  • Directly supervises Directors of Student Affairs, Admissions, Financial Aid, Mental Health Counselors, and Registrar. The Associate Dean will carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees(s), planning, assigning, and directing work; appraising performance; rewarding and disciplining employee(s); addressing complaints and resolving problems.

Requirements

QUALIFICATIONS

  • Previous experience as an Assistant or Associate Dean in an Osteopathic or Allopathic Medical College in student services
  • Experience in various software applications and student information systems, especially applications software specific to admissions, recruitment, enrollment management, financial aid, and statistical analysis.
