Job description

JOB PURPOSE

The Enrollment Coordinator serves as the central point of coordination across the enrollment team, including Admissions, Financial Aid, and Quality Control. This position guides and supports prospective students through every stage of the enrollment process, helping qualified leads successfully matriculate.

JOB SUMMARY

The Enrollment Coordinator coordinates and liaises among the school's three enrollment functions-Admissions, Financial Aid, and Quality Control-to move prospective students through the enrollment funnel from initial lead to class start. The Coordinator actively tracks each prospect's status, coordinates hand-offs between departments, and maintains direct contact with prospective students to address gaps and prevent students from falling out of the enrollment process.

The position also performs duties within the Admissions Representative scope as needed to support departmental and operational goals.

ESSENTIAL FUNCTIONS

Serve as the central point of coordination and liaison across the Admissions, Financial Aid, and Quality Control departments, keeping prospective students moving through the enrollment funnel from initial lead to class start.

Track each prospect's status throughout the enrollment funnel and proactively follow up on stalled applicants before they fall out of the process.

Coordinate hand-offs between the three enrollment departments so prospective students complete each admissions, financial aid, and quality control step in a timely manner.

Maintain direct, ongoing contact with prospects by phone, email, and in person to guide and support them through every stage of enrollment.

Review daily reports and create focus reports for Admissions Representatives.

Coordinate nurture campaigns, which may include liaising with the marketing company.

Update internal systems, including portals, to ensure enrollment statuses are accurate across all platforms and applications.

Monitor high-payment students to ensure deposits are provided in a timely manner.

Schedule and confirm appointments for prospects to visit the school and conduct in-person interviews and tours.

Ensure that all prospective students meet the admissions criteria of the New York State Education Department, the accrediting agency, and other applicable funding sources.

Make follow-up calls and send follow-up correspondence to prospects who have previously called or visited Apex.

Review and complete all documents necessary to finalize prospective students' enrollments.

Participate in professional development activities to meet requirements from Apex and The Fedcap Group and perform other Admissions tasks as needed for operational success.

Assist with recruitment, school, and open house events to attract and engage prospective students.

Identify and help create processes that improve the enrollment process, delivering a more efficient and positive experience for prospective students.

Education:
High School Diploma required. Associate's or Bachelor's degree preferred.

Licenses:
Apex will assist new hires in obtaining an NYS Admissions license.
