Job description

About the Role

We are seeking an organised and technically minded Engineering Systems Coordinator to support engineering operations within a regulated medical device manufacturing environment.

The role will focus on managing and improving engineering workflows and systems, including Engineering Change Notices (ECNs), Document Change Control (DCC), deviations, Product Data Management (PDM), D365 and workflow automation .

This is a hands-on coordination and systems-focused position, ideal for someone with strong organisational skills, technical aptitude and an interest in data, reporting and continuous improvement. The role does not involve product design or CAD modelling.

Key Responsibilities
  • Manage and coordinate the end-to-end ECN process , ensuring changes are tracked, implemented and closed efficiently.
  • Monitor ECN and deviation status, ownership, deadlines and ageing, escalating overdue actions where required.
  • Coordinate Document Change Control and ensure engineering and manufacturing documentation is updated appropriately.
  • Maintain ECN logs, traceability matrices and DHF documentation.
  • Develop and maintain engineering dashboards and reports using Excel, Power BI and Smartsheet .
  • Track key metrics including ECN cycle times, backlog, ageing and departmental throughput.
  • Support engineering workflow systems, including Smartsheet, D365 and PDM platforms .
  • Assist with workflow automation using tools such as Power Automate, SQL and related technologies .
  • Identify opportunities to automate repetitive tasks and improve engineering processes.
  • Support audit preparation and ensure appropriate document traceability and compliance.
  • Facilitate ECN review meetings and coordinate actions across Engineering, Quality and Manufacturing.
  • Create and maintain SOPs, work instructions and process documentation.
  • Support the training of users on engineering systems and workflows.
Candidate Requirements
  • Bachelor's degree in Computer Science, Information Systems, Engineering Technology, Data Analytics or a related field preferred.
  • 0โ€“3 years' experience in engineering operations, manufacturing, workflow systems, document control, data analytics or a related technical environment.
  • Strong knowledge of Microsoft Excel , including formulas, pivot tables and data analysis.
  • Experience with Power BI, Power Query and/or Smartsheet .
  • Familiarity with D365, PDM or document management systems is advantageous.
  • Experience with ECNs, DCCs, deviations or engineering change processes is preferred.
  • Understanding of DHF, DMR and DHR documentation within a regulated environment is beneficial.
  • Familiarity with FDA regulations and 21 CFR Part 820 is advantageous.
  • Strong organisational, communication and problem-solving skills.
