What is email processing?

Email processing focuses on sending, receiving, and processing emails for a company. As part of this, in this career, you may record comments about a product, promote a product to customers, use analytics to see when and where people decide to purchase products, and bring problems to the attention of managers and engineers as necessary. For example, if you process emailed medical reports, you might use software to keep track of the recorded number of errors and send out an alert when a location surpasses a certain threshold. Advertising-based email processing jobs focus on copying and pasting content into a variety of templates and may involve tweaking emails to fit different audiences.

What are some common challenges faced in an email processing role, and how can they be managed effectively?

A common challenge in Email Processing roles is managing high volumes of incoming messages while ensuring timely and accurate responses. Prioritizing urgent emails, using organizational tools such as folders and labels, and developing templates for frequently asked questions can help improve efficiency. Additionally, maintaining clear communication with team members and proactively flagging complex queries for escalation are important practices to ensure nothing falls through the cracks. Regularly reviewing and refining your workflow can further enhance productivity and reduce stress in this fast-paced environment.

What are the key skills and qualifications needed to thrive as an email processing specialist, and why are they important?

To thrive as an Email Processing Specialist, you need strong attention to detail, organizational skills, and proficiency in written communication, often supported by a high school diploma or equivalent. Familiarity with email management systems like Outlook or Gmail, as well as CRM or ticketing tools, is typically required. Time management, problem-solving, and discretion are important soft skills for effectively managing high volumes of sensitive correspondence. These skills ensure timely, accurate handling of emails, which is critical for business efficiency and maintaining professional communication standards.

Job description

Be a Part of our Team!

Join a working team that is dedicated to the mission of the work we do!
Teaching Strategies is an innovative edtech organization focused on connecting teachers, children, and families. As front runners in the early childhood education market, we build dynamic, top-quality digital products that integrate all of the essential elements of a high-quality solution: curriculum, assessment, professional development, and family engagement. We are building a team of results-oriented individuals who will thrive in a collaborative, work-hard/play-hard culture. We pride ourselves on the impact we have on the early childhood field through supporting teachers who are doing the most important work there is, teaching children to become creative, confident thinkers.
Position Overview
Teaching Strategies is seeking an Email Marketing Specialist to own the day-to-day build, quality assurance, and execution of email marketing campaigns and programs in Adobe Marketo Engage. This role is responsible for translating campaign requirements into accurate, well-structured, and timely email programs while maintaining a high standard of operational excellence.

The ideal candidate is highly detail-oriented, organized, and comfortable working hands-on in Marketo. They take pride in getting the details right, follow established processes, proactively identify potential issues, and can manage multiple campaigns and deadlines without sacrificing quality.

This role will work closely with marketing and creative partners to bring campaign strategies and creative assets to life in Marketo. While this position does not own email design or creative development, a strong understanding of email marketing best practices, audience segmentation, testing, and performance metrics will help this person be an effective partner and contribute to continuous improvement.

Over time, this person will help make our email marketing operation more reliable and scalable by strengthening processes, maintaining clean and consistent program structures, and identifying opportunities to improve how campaigns are built, tested, and executed.
  • Build, test, schedule, and launch email campaigns and programs in Adobe Marketo Engage.
  • Build and maintain Marketo programs, including email sends, engagement programs, nurture campaigns, smart campaigns, lists, and operational workflows.
  • Translate campaign briefs and business requirements into accurate and well-structured programs within Marketo.
  • Own campaign setup from build through deployment, ensuring all requirements are completed accurately and on schedule.
  • Perform thorough pre-launch QA, including audience criteria, suppression rules, links, tracking, personalization, dynamic content, tokens, campaign logic, scheduling, and other campaign configurations.
  • Test email rendering and functionality across devices and email clients and troubleshoot issues prior to deployment.
  • Apply audience management best practices to help ensure campaigns reach the intended recipients while maintaining appropriate exclusions and suppression criteria.
  • Implement approved creative assets and content within established email templates in Marketo, partnering with the Creative team on any design or creative needs.
  • Execute A/B tests and other campaign tests based on defined testing plans.
  • Monitor campaign execution and identify, troubleshoot, and resolve issues that could affect successful deployment or audience experience.
  • Support campaign reporting and measurement, including metrics such as delivery, opens, clicks, conversions, and unsubscribes.
  • Maintain clean, consistent, and scalable Marketo program structures, naming conventions, documentation, and operational processes.
  • Look beyond individual campaign results to identify patterns across audiences, campaign types, messaging, and stages of the customer journey.
  • Partner with marketing stakeholders to determine where email can help support broader campaign and performance goals.
  • Follow email marketing best practices related to deliverability, consent, list hygiene, segmentation, and subscriber experience.
  • Identify opportunities to strengthen QA processes, reduce errors, streamline campaign production, and improve overall marketing operations.
  • Collaborate effectively with cross-functional partners to manage campaign timelines, communicate status, surface risks, and ensure campaigns are ready for launch.
Qualifications:
  • 2+ years of hands-on experience building and executing email marketing campaigns in Adobe Marketo Engage or a comparable marketing automation platform.
  • Demonstrated experience building emails, programs, smart campaigns, lists, audience segments, and campaign workflows.
  • Exceptional attention to detail and a strong commitment to accuracy and quality.
  • Experience performing comprehensive QA of email campaigns prior to deployment.
  • Strong organizational skills and the ability to follow established processes while managing multiple campaigns and competing deadlines.
  • Ability to independently troubleshoot campaign setup, logic, audience, and execution issues.
  • Working knowledge of email marketing best practices, including audience segmentation, personalization, deliverability, consent, and list management.
  • Experience working with marketing performance reports and dashboards; experience pulling and interpreting reports in Power BI is strongly preferred.
  • Strong understanding of email marketing metrics and the ability to analyze performance against established goals or KPIs.
  • Ability to translate marketing data into observations, insights, and actionable recommendations.
  • Strong project and time-management skills with the ability to consistently deliver against deadlines.
  • Strong written and verbal communication skills and the ability to collaborate effectively with cross-functional teams.
  • Self-motivated, dependable, and comfortable taking ownership of work from campaign setup through successful deployment.
  • Basic HTML/CSS knowledge for troubleshooting email builds is a plus.
  • Experience with CRM systems and CRM/marketing automation integrations is a plus.
  • Experience in the education industry, particularly early childhood education, is a plus.
  • Bachelor's degree in marketing, communications, business, or a related field preferred, or equivalent relevant experience.
