๐Ÿข Work Model: Hybrid (Tuesday-Thursday Onsite, Monday & Friday Remote)


About the Role

We are seeking an experienced Enterprise Email Operations Specialist to support a large-scale enterprise email ecosystem. This role will serve as the operational bridge between internal teams, agency partners, and technology vendors, driving governance, process standardization, reporting, and workflow excellence.

Please Note: This is not a content creation, copywriting, or email production role. The focus is on email operations, agency governance, reporting, workflow management, and process optimization.


Required Qualifications

  • Bachelor's degree in Business, Marketing, Communications, or related field.
  • 5+ years of experience in Marketing Operations, Email Operations, Project Management, Digital Operations, or a related discipline.
  • Experience supporting enterprise-scale marketing or email operations environments.
  • Proven experience working with external agencies, vendors, or partner organizations in an operational or governance capacity.
  • Strong understanding of email marketing workflows, governance, and operational best practices.
  • Hands-on experience with Power BI for reporting and dashboard development.
  • Experience using Workfront or similar workflow/project management platforms.
  • Strong presentation, communication, and stakeholder management skills.
  • Ability to thrive in a fast-paced environment and manage multiple priorities simultaneously.

Preferred Qualifications

  • Experience with Knak or similar email creation platforms.
  • Experience developing SOPs, governance documentation, or training materials.
  • Experience supporting highly regulated or enterprise-level organizations.
  • Background in process automation, workflow optimization, or operational transformation initiatives.


Key Responsibilities

Agency Governance & Enablement

  • Serve as the primary operational point of contact for external agency partners.
  • Lead onboarding, training, and ongoing support for agency users on enterprise email tools and processes.
  • Host office hours and provide operational guidance to internal and external stakeholders.
  • Manage access requests, user enablement, and governance-related activities.
  • Conduct audits and reviews to identify process gaps, compliance concerns, and workflow improvement opportunities.
  • Develop and distribute operational communications, process updates, and monthly newsletters.

Reporting & Analytics

  • Deliver monthly and quarterly operational reporting, KPI tracking, and performance metrics.
  • Build, maintain, and enhance dashboards using Power BI.
  • Drive reporting automation initiatives to improve efficiency and data accuracy.
  • Analyze trends and provide actionable insights to leadership and stakeholders.

Workflow & Process Management

  • Establish and maintain standardized workflows across multiple business teams.
  • Utilize Workfront or similar enterprise workflow management tools to support operational excellence.
  • Partner with vendors to gather business requirements and support platform enhancements.
  • Manage project timelines, stakeholder communications, and continuous process improvement initiatives.
  • Translate agency and stakeholder feedback into scalable operational solutions.
