is a rapidly growing therapy staffing company providing Physical Therapy, Occupational Therapy, and Speech Therapy services to home health agencies throughout Illinois. We are seeking an experienced, highly organized, and motivated leader to join our management team as a Home Health Therapy Staffing Operations Manager. This is a key leadership position responsible for overseeing daily therapy staffing operations, managing scheduling personnel, coordinating therapist assignments, maintaining client relationships, and ensuring exceptional customer service and operational efficiency.

Position Summary

The Home Health Therapy Staffing Operations Manager is responsible for the overall coordination and management of therapy staffing operations. This individual will supervise scheduling and administrative staff, oversee therapist scheduling and staffing activities, monitor operational performance, and serve as a primary liaison between client agencies, therapists, and internal team members. The ideal candidate is a strong leader, highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced healthcare environment.

Essential Duties and Responsibilities

Operations Management

Oversee daily therapy staffing and scheduling operations. Ensure timely staffing of Physical Therapy, Occupational Therapy, and Speech Therapy referrals. Monitor staffing coverage and therapist availability across assigned territories. Develop and implement efficient scheduling workflows and operational processes. Identify and resolve staffing challenges proactively. Track operational metrics and assist leadership with performance improvement initiatives.

Team Leadership

Supervise scheduling coordinators and administrative staff. Provide training, coaching, mentoring, and performance oversight. Conduct regular staff meetings and workflow reviews. Foster a positive, professional, and accountable work environment. Assist with hiring, on boarding, and development of scheduling team members.

Client & Therapist Relations

Serve as a primary point of contact for home health agency clients. Maintain strong relationships with referral sources and contracted agencies. Coordinate communication between therapists, agency staff, and clients. Address concerns and resolve service-related issues promptly and professionally. Ensure high levels of customer satisfaction and responsiveness.

Scheduling & Administrative Functions

Manage high volumes of incoming calls, emails, and staffing requests. Coordinate therapist schedules and assignments. Maintain accurate staffing records and documentation. Utilize company software systems to track referrals, staffing, productivity, and performance. Ensure compliance with company policies and client requirements. Generate reports and provide operational updates to leadership. 

Qualifications Required Associate Degree or higher.

Minimum 3 years of healthcare scheduling, staffing coordination, healthcare administration, customer service, or operations experience. Previous supervisory or team leadership experience. Exceptional organizational and multitasking abilities. Strong verbal and written communication skills. Excellent computer skills and ability to learn multiple software platforms. Strong problem-solving and decision-making skills. Ability to work independently and manage competing priorities. Preferred Home Health experience. Therapy staffing experience. Healthcare staffing or workforce management experience. Experience with TherapyBoss, WellSky (Kinnser), Axxess, MatrixCare, or similar healthcare software.
