Summary

School Operations Managers oversee all areas of school operations. As such, the Manager manages daily operations, coordinates with the Central Management teams to ensure timely and thorough completion of projects and response to reporting and compliance matters, and helps develop and fully-execute the plans for the school in coordination with Central Management, district, and school-level leadership. In addition, the Manager is the primary troubleshooter for advisors, students, parents, guests, and other divisions of the organization, finding effective solutions for their needs and concerns.

Role Responsibilities

  • Budget Monitoring
    • Works with School Director and Accounting to develop and manage the school's budget, and with the Assistant Director of School Quality to develop the Title I budget
    • Manages all budget-related compliance matters for the school-site
    • Reviews budget variances and elevates deviations from the metrics and budget to the School Director
    • Reviews, monitors, and submits monthly credit card statements to Accounting Department
    • Monitors budgets, flags low accounts, and elevates issues
    • Tracks and processes all cash collections and fundraising money
  • Procurement
    • Works closely with Procurement to place orders and manage inventory at the school-site
  • Monitoring Operational Performance
    • Prepares campus for the start of the school year and works with network staff to resolve any outstanding issues
  • Development and Implementation of Policies and Procedures
    • Welcomes new hires and coordinates school-based onboarding process with appropriate Central Management departments
    • Designs and implements end-of-year process to ensure staff members complete necessary actions
    • Collaborates with school receptionist and school operations team to ensure accurate implementation of school policies and procedures
    • Ensures timely and accurate completion of various projects and tasks as needed
  • Compliance
    • Collaborates with Talent department to ensure teacher compliance with certification requirements
    • Promptly processes timesheets and submits attendance reporting to Human Resources department
    • Monitors student information systems for accuracy, manages updates as necessary including adding and dropping students, accurately reporting graduation and retention, assigning contents, and other processes
    • Manages student and staff records, both physically and digitally
    • Successfully leads Count Day processes and procedures at the school-site, working closing with Central Management
    • Successfully executes operational activities in compliance with local, state, and federal requirements
    • Development of Master Schedule
  • School and District/Network Service Delivery
    • Successfully coordinates food service delivery with Food Service department
    • Coordinates with facilities department to ensure a safe, clean, and well-functioning facility is maintained
  • Testing Coordination
    • Coordinates with Central Management to administer district benchmark and standardized test administration
  • Facilities
    • Monitor operational performance of facilities site-based pilot
    • Collaborates with facilities manager to develop and approve facilities budget, order custodial supplies and materials needed to maintain school; forecast, allocate, and supervise the resources for the physical plant.
    • Arrange for necessary repair work from a list of vendors and Network maintenance personnel; contact vendors by telephone or email as necessary; inspect and review work performed to assure school and Network standards are met. Monitors regular facilities inspections.
    • On call 24 hours daily in case of emergency
  • Performs all other duties as assigned 
  • Education and Certification
  • Bachelor’s degree or equivalent experience with a background in business or operations
  • Experience
    • Three years’ experience in school operations preferred
  • Skills
  • Proficient in Google Suite platform
  • Knowledgeable with the use of database management, particularly student information systems (PowerSchool)
  • Able to create and maintain various reports and proven success in managing multiple, complex projects simultaneously
