Purpose

The Sales Assistant provides administrative, operational, and customer support to the Sales team to ensure efficient day-to-day sales operations. This role serves as a key point of contact for customers by creating sales orders, responding to inquiries, maintaining accurate inventory and sales records, and coordinating with internal departments to support customer satisfaction and business growth. The ideal candidate is highly organized, detail-oriented, and committed to delivering exceptional customer service.

Essential Functions

Sales Support

  • Respond to customer inquiries via phone, email, and online channels by providing product information, pricing, availability, order status, and credit terms.
  • Prepare quotations, estimates, delivery schedules, and sales documentation.
  • Prepare customer sales orders accurately and efficiently while ensuring compliance with company policies.
  • Maintain accurate records of customer interactions, sales activities, and correspondence in company systems.
  • Build positive relationships with customers by providing timely, professional, and solution-oriented service.

Product & Inventory Management

  • Monitor inventory availability, backlog reports, and product allocations using Microsoft Excel and ERP systems.
  • Coordinate with Product Management regarding new product launches, inventory availability, and product updates.
  • Maintain accurate online product listings, promotional banners, vendor portals, and product information.
  • Communicate inventory shortages or potential delays to the Sales team and customers when appropriate.

Sales & Marketing Support

  • Assist the Sales Manager with preparing sales reports, presentations, and customer proposals.
  • Compile sales metrics and customer data to support business planning and decision-making.
  • Assist in preparing materials for customer meetings, trade shows, and sales events.

Administrative Support

  • Enter and maintain accurate sales orders, customer information, inventory allocations, and shipping requirements.
  • Coordinate product returns and exchanges in accordance with company policies.
  • Maintain organized electronic files and sales documentation.
  • Stay informed on company products, promotions, pricing, and policies.
  • Perform other duties and special projects as assigned.


Qualifications

Education & Experience

  • Associate degree in Business Administration, Marketing, Communications, or a related field preferred. Equivalent combination of education and relevant work experience will be considered.
  • One to three (1–3) years of experience in customer service, sales support, inside sales, order processing, or an administrative support role preferred.
  • Experience supporting wholesale, retail, or e-commerce customers is a plus.

Knowledge, Skills & Abilities

  • Strong customer service orientation with the ability to build positive relationships through professional communication.
  • Excellent verbal and written communication skills with strong interpersonal abilities.
  • Demonstrated accuracy and attention to detail in data entry, order processing, and documentation.
  • Intermediate proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
  • Experience working with ERP systems preferred; Oracle NetSuite experience is a plus.
  • Ability to prioritize multiple tasks while meeting deadlines in a fast-paced environment.
  • Strong organizational, problem-solving, and time management skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Demonstrated initiative, adaptability, and willingness to learn new systems and processes.
  • Professional demeanor with a high level of integrity, accountability, and confidentiality.
  • Minimum typing speed of 45 words per minute.
  • Ability to travel occasionally for trade shows, customer visits, or company events.


Physical & Work Environment

  • Primarily a sedentary office position requiring prolonged periods of sitting and computer use.
  • Frequent use of computers, telephones, and standard office equipment.
  • Requires the ability to communicate effectively in person, by phone, and electronically.
  • Must possess the mental acuity to analyze information, solve problems, and make sound decisions in a dynamic work environment.
