Job description

The Opportunity

We are seeking a dependable, personable, and highly organized Administrative Assistant & Front Office Coordinator to become the first point of contact for visitors, customers, vendors, drivers, and callers while supporting the daily flow of a growing manufacturing company.


This is an entry-level position with meaningful room to grow. The right person will begin by owning reception and essential administrative work, then expand into eBay sales, social media, recruiting support, customer assistance, and other areas as reliability and capability are demonstrated.


Primary Mission

Create a professional, organized, and dependable front-office experience while completing recurring administrative, e-commerce, and digital-content responsibilities accurately and on time.


Key Responsibilities

Front Office and Reception

  • Greet and professionally assist visitors, customers, vendors, drivers, applicants, and service personnel.
  • Determine the purpose of each visit and notify or route the visitor to the correct employee.
  • Answer, screen, and direct incoming telephone calls professionally.
  • Take complete, accurate messages when the appropriate employee is unavailable.
  • Prevent routine visitors and calls from unnecessarily interrupting multiple employees.
  • Maintain visitor logs and follow established safety, confidentiality, and access procedures.
  • Receive packages, documents, and routine deliveries and notify the correct person promptly.
  • Maintain a clean, organized, and professional reception area, conference room, and shared office spaces.
  • Help ensure visitors entering manufacturing areas have the appropriate personal protective equipment and escort.


Administrative Support

  • Scan, name, file, organize, and retrieve office and production documents using established standards.
  • Assist with printing, copying, mailing, filing, data entry, document preparation, and routine correspondence.
  • Maintain organized electronic and physical files.
  • Monitor and restock approved office supplies.
  • Assist with calendar coordination, meetings, interviews, visitor scheduling, and company events.
  • Support recruiting by scheduling interviews, preparing applicant information, and assisting with onboarding paperwork.
  • Help maintain employee contact lists, vendor information, company forms, and other recurring administrative records.
  • Route invoices, packing slips, purchase documents, and other records to the appropriate employee without making accounting or purchasing decisions.
  • Assist the Office Manager, customer-execution team, and operations team with clearly assigned administrative projects.
  • Follow through on recurring assignments without requiring repeated reminders.


eBay and Online Sales

  • Photograph approved surplus equipment, tooling, materials, furniture, and inventory for online listings.
  • Research comparable listings and prepare organized pricing information for approval.
  • Create accurate, professional eBay listings using approved photographs, descriptions, pricing, and terms.
  • Monitor buyer questions and route technical or pricing questions to the appropriate employee.
  • Maintain accurate records of active listings, buyer communication, approved offers, completed sales, fees, and shipping status.
  • Coordinate payment confirmation, packaging, and shipment with the appropriate internal employees.
  • Keep listings current and promptly remove or update sold, unavailable, or revised items.
  • Protect the company from inaccurate descriptions, unauthorized discounts, fraudulent requests, and avoidable shipping disputes.


Social Media and Company Presentation

  • Assist with maintaining a simple, consistent company social-media calendar.
  • Capture appropriate photographs and short videos of company capabilities, equipment, products, employees, and events.
  • Draft professional social-media posts for review and approval.
  • Publish approved content on company platforms.
  • Help maintain consistent company information, branding, spelling, and presentation across online profiles.
  • Never photograph, post, share, or disclose customer-confidential information, proprietary drawings, sensitive computer screens, pricing, work orders, or restricted information.
  • Track basic activity and help identify which types of posts receive the strongest engagement.


Additional Responsibilities

  • Help coordinate employee lunches, meetings, office events, and customer visits when requested.
  • Assist with basic shipping, receiving, or inventory administration during peak periods.
  • Support special projects based on company needs and demonstrated capability.
  • Take on increasing responsibility in customer service, marketing, sales support, recruiting, or operations administration as performance warrants.


Required Qualifications

  • Professional, friendly, and confident communication in person, by telephone, and in writing.
  • Excellent attendance, punctuality, reliability, and personal accountability.
  • Strong organization and the ability to complete work accurately despite frequent interruptions.
  • Basic proficiency with email, Microsoft Word, Excel, web-based systems, and digital file management.
  • Good written grammar, spelling, and attention to detail.
  • Ability to prioritize several immediate needs without becoming flustered or losing track of assigned work.
  • Willingness to learn unfamiliar systems and accept direct, constructive feedback.
  • Sound judgment regarding confidentiality, customer information, proprietary manufacturing information, and public content.
  • Professional appearance appropriate for a customer-facing manufacturing office.
  • Willingness to follow manufacturing safety requirements.
  • Ability to work full-time on-site in Cypress, Texas.


Preferred Qualifications

  • Prior experience in reception, customer service, office administration, retail, hospitality, e-commerce, or another customer-facing role.
  • Experience creating eBay, Facebook Marketplace, or other online sales listings.
  • Familiarity with LinkedIn, Facebook, Instagram, Canva, or similar platforms.
  • Basic photography, video, graphic-design, or content-creation skills.
  • Experience with shipping platforms, inventory records, or order processing.
  • Previous experience in manufacturing, industrial services, automotive, oilfield, construction, or another technical environment.


A college degree is not required. We are more interested in reliability, judgment, communication, organization, initiative, and the ability to learn.
