Job description

Position Overview

The Driver Coordinator is responsible for ensuring accurate, real-time visibility of all active deliveries by maintaining consistent communication with drivers and keeping system data up to date. This role supports the dispatch team by proactively identifying gaps in communication, tracking ETAs, and ensuring all delivery information in Salesforce reflects current status.

This position will initially report to the Director of Dispatch Logistics, with the understanding that the direct reporting structure may evolve as operational needs change.


Responsibilities:

Driver Communication & Check-Ins

  • Conductโ€ฏtwice-daily check-insโ€ฏwith all active drivers to confirm:
  • Current location/status
  • Updated ETAs for remaining deliveries
  • Any delays or issues impacting schedule
  • Serve as the primary point of contact for routine driver status updates during the day

ETA Tracking & Visibility

  • Monitor and maintain accurate ETAs for ~50โ€“60 daily deliveries during peak season
  • Identify discrepancies between planned routes and actual progress
  • Flag late or at-risk deliveries to dispatchers, land, and sales in a timely manner

System Accuracy (Salesforce)

  • Ensure all delivery statuses, ETAs, and notes in Salesforce areโ€ฏ accurate and up to date
  • Enter and update data based on driver communication and available GPS tracking
  • Cross-check system data against real-world conditions to eliminate inaccuracies

Internal Communication

  • Provide consistent updates to dispatchers, sales team, and loaders on pick-up and delivery status
  • Proactively communicate issues such as delays, missed stops, or route deviations
  • Act as the โ€œsource of truthโ€ for real-time delivery visibility

Exception Reporting

  • Identify and report issues including:
  • Missed ETAs
  • Delayed routes
  • Driver communication gaps
  • Escalate all issues to dispatchers for decision-making and resolution

Qualifications and Characteristics

  • Strong attention to detail and organizational skills
  • Comfortable managing high call/text volume with drivers
  • Ability to identify discrepancies and communicate clearly
  • Experience with CRM/TMS systems (Salesforce preferred)
  • Ability to stay consistent and process-driven in a fast-paced environment
