Inside Sales & Service Coordinator (Sales Operations – Exempt)

Department: Sales

Reports To: Branch Manager

Work Schedule: Full-Time, 40 hours per week

Location: Branch Based – Indiana, Illinois, Tennessee

Compensation: Salary, Exempt (FLSA)


Summary

The Inside Sales & Service Coordinator is responsible for the administrative execution of customer orders and service work throughout the Tennessee branch. This role serves as the central coordination point between Territory Managers, Service Managers, Warehouse Operations, Vendors, and Customers to ensure every product order and service job is accurately quoted, processed, procured, staged, scheduled, invoiced (in conjunction with Branch Admin), and collected.

This position owns the internal workflow after the scope of work has been established by Sales or Service leadership. Success is measured by order accuracy, job readiness, responsiveness to customers, on-time execution, and cash collection.

Responsibilities

  • Inside Sales
    • Prepare product and service quotations based on scopes provided by Territory and Service Managers
    • Process customer sales orders in NetSuite
    • Enter purchase orders
    • Coordinate with vendors to procure products
    • Track material deliveries and communicate status to customers
    • Resolve order discrepancies
    • Support Territory Managers with customer follow-up
    • Respond to incoming customer phone calls and emails
    • Create Warehouse pick tickets
    • Communicate directly with customers as needed
    • Assist with inventory planning
  • Inside Service
    • Procure & coordinate rental equipment as needed
    • Maintain the TN service calendar under the direction of the Service Managers
      • Not responsible for scheduling jobs, just the administrative tasks of attaching SOs and other relevant information
    • Track Warranty Documentation

Qualifications

  • 5+ years inside sales, service coordination, purchasing, or industrial operations experience
  • Strong organizational skills

  • Experience with ERP systems (NetSuite preferred)
  • Proficient with Microsoft Office
  • High attention to detail
  • Self-directed and able to make independent decisions

Remote / Hybrid Work

This position is eligible for a hybrid work arrangement following completion of initial training and onboarding. Hybrid eligibility is determined by management based on performance, operational needs, and role responsibilities. On-site attendance may be required for meetings, training, process coordination, and branch support.


Travel Requirements

No regular travel is required. Occasional travel for training or coordination meetings may occur based on business needs.


Schedule & Compensation

Full-time, salaried, exempt position. The standard schedule is Monday through Friday, with an eight-hour day shift. Additional hours may be required based on business needs or project responsibilities.
