POSITION SUMMARY:

The Outside Processing Coordinator is responsible for coordinating and managing production activities with outside processors and warehouses to ensure customer requirements, production schedules, and inventory accuracy are achieved. This position serves as the primary liaison between internal departments and external processing partners, maintaining accurate ERP records, monitoring production status, and supporting continuous improvement in supplier performance and inventory control.

ESSENTIAL FUNCTIONS:

  • Create, monitor, and update production orders to support customer requirements and operational priorities.
  • Verify production order costs to ensure consistency with approved outside processor quotations.
  • Coordinate production schedules with outside processors to meet delivery commitments and production deadlines.
  • Provide timely production, inventory, and order status updates to Sales, Customer Service, Materials Management, and other internal stakeholders.
  • Process production transactions and job recordings within the ERP system to maintain accurate inventory and production records.
  • Perform inventory reconciliations to identify and resolve discrepancies between company inventory, outside warehouse records, and processor activity.
  • Review and validate pricing discrepancies related to outside warehouses and processing vendors.
  • Support Sales Requests for Quotation (RFQs) by providing information regarding outside processing capabilities, available capacity, standard lead times, and processing requirements.
  • Prepare and communicate production forecasts to outside processors in coordination with Sales and Materials Management.
  • Maintain current records of outside processor capabilities, lead times, certifications, and capability matrices.
  • Monitor outside processor performance and support supplier scorecards and continuous improvement initiatives.
  • Assist with internal and external audits involving outside processors and warehouses, including IATF 16949 documentation and compliance requirements.
  • Develop strong working relationships with suppliers and internal departments to ensure efficient communication and issue resolution.
  • This position requires up to 25% travel to conduct inventory reconciliations, participate in training initiatives, attend team meetings, and perform assessment inspections.

EXPERIENCE AND EDUCATION:

  • Experience working with outside processors, subcontract manufacturing, or vendor management is preferred.
  • Experience using ERP/MRP systems in a manufacturing environment.
  • Strong understanding of production scheduling, inventory management, and supply chain processes.
  • Excellent organizational and time management skills with the ability to manage multiple priorities.
  • Strong analytical and problem-solving abilities.
  • High attention to detail and commitment to data accuracy.
  • Effective verbal and written communication skills.
  • Proficient in Microsoft Office, particularly Excel.
  • Ability to work collaboratively across Operations, Sales, Purchasing, Quality, and external suppliers.
  • Ability to analyze inventory and production data to identify trends and resolve discrepancies.
  • Knowledge of IATF 16949 or automotive manufacturing quality systems is a plus.

PHYSICAL AND MENTAL REQUIREMENTS:

Primarily office-based role requiring the ability to sit for extended periods while working on a computer. Must be able to communicate effectively in person, by phone, and electronically. Occasional visits to warehouse or manufacturing areas may be required. Must be able to occasionally lift up to 25 pounds.
