The Safety & Security Operations Associate is responsible for providing operational and technical support to the Safety & Security (S&S) department. The incumbent will provide operations support to S&S management and loss prevention and safety initiatives; assist with business continuity planning; produce procedural and technical documentation; provide data analysis and create reports on department metrics; develop and manage the business dashboards; and participate in various S&S projects and initiatives. This position will proactively work with the S&S Team, TRS Members, external visitors, members of TRS leadership, and agency staff.
Fellowship Program Position: This Fellowship Program position is a full-time, temporary, limited term assignment not to exceed three years from the date of hire. It is intended for individuals that have graduated with a bachelor's degree or a master's degree from an accredited college or university in Criminal Justice, Business Administration, Communications or a closely related field within the last 12 months.
This role requires onsite work at our Austin, TX headquarters.
WHAT YOU WILL DO:
Operations
• Provides general office support for S&S staff and management, including preparing, copying and e-mailing correspondence, forms, and documentation.
• Assists with developing, maintaining and implementing S&S administrative and operating procedures and guidelines.
• Assists S&S management with program area development.
• Collaborates with S&S staff in documenting safety, security and operational risk management processes and updating policies, procedures, and safety and security manuals.
• Assists Operational Risk team in safety protocols for all building locations.
• Assists with inventory and control of agency assets, including administration and procedural processes.
• Coordinates and communicates with other agency departments as needed to support the safety, security and operational risk management office objectives.
• Provides transportation services in agency vehicles for TRS staff and others as requested.
• Assists with onsite inspections to identify hazards and risk exposures and implements risk mitigation measures.
• Provides back-up coverage for TRS security desks.
Technical
• Assists with documenting processes for new technologies being utilized by the security team.
• Researches, compiles, maintains and analyzes data and metrics using charts, graphs and databases, and prepares summaries or reports.
• Assists with the Security, Safety & Prevention SharePoint sites and Safety Committee Webpage updates.
• Maintains the Security and Safety & Prevention PowerBI dashboards for trend analysis and executive insight.
• Prepares regularly scheduled and ad hoc reports as assigned.
• Provides customer service to internal and external customers.
• Assists with New Employee Orientation sessions on behalf of the S&S department.
• Assists the Business Continuity Coordinator with updating the agency's Continuity of Operations Program (COOP), business continuity plans, and disaster recovery plans.
• Works on and collaborates with S&S personnel on special projects.
Fellowship Curriculum
• Participates in trainings and projects related to the TRS Fellowship Program including webinars, quarterly check-ins, classes or other learning activities, book group, projects, and the mentoring program.
• Meets TRS Fellowship Program deadlines and goals for completion of trainings in deliverables in a timely manner.
Performs related work as assigned.
WHAT YOU WILL BRING:
Required Education
• Bachelor's degree or Master's degree from an accredited college or university in Criminal Justice, Business Administration, Communications or a closely related field awarded within the last 12 months.
Required Experience

Required Registration, Certification, Licensure
• Valid Texas driver's license and acceptable driving record.
Preferred Qualifications
• Experience researching, compiling, maintaining and analyzing data and metrics using charts, graphs and databases.
• Experience with providing general office support to staff and management, including preparing, copying and e-mailing correspondence, forms, and documentation.
• Experience in updating and documenting policies, procedures and processes.
Knowledge, Skills, and Abilities
Knowledge of:
• General office practices and procedures.
• Basic concepts in business or program terminology and methods.
• Process reviews and techniques.
• MS Office products, including AI tools (such as CoPilot).
• PowerBI or other data dashboard software.
• Basic data analysis methods and statistical techniques
• Databases, including relationships, security, and modeling with the ability to learn and understand various data environments.
Skill in:
• Organizing and prioritizing work to manage a high-volume workload in a fast-paced environment and completing work accurately while meeting deadlines.
• Conducting data searches and evaluations of large amounts of information, performing complex analysis of the data, and preparing concise and accurate reports and written/oral recommendations.
• Verbal and written communication of complex information that is accurate, timely, and based on sound judgment.
• Using a personal computer in a Windows and Microsoft Office (Word, Excel) environment, and accurately performing data entry and manipulation.
• Performing assignment-specific research and analysis of relevant information.
