POSITION SCOPE
The Document Control Assistant is critical in managing, organizing, and maintaining project documentation, ensuring compliance with company standards and regulatory requirements. The ideal candidate will have experience in document control within the construction industry and possess strong communication and administrative skills. They will be highly organized and detail oriented.
PRIMARY DUTIES
  • Maintain document control processes and procedures for construction projects.
  • Organize, track and manage project documentation, including permits, drawings, specifications, RFIs, and submittals.
  • Ensure proper document classification, numbering, and filing in accordance with company and project-specific guidelines.
  • Maintain up-to-date records of all project documents and ensure timely distribution.
  • Coordinate with project managers, engineers, subcontractors, and other team members to ensure accurate document flow.
  • Review and verify document accuracy, completeness, and compliance with industry standards.
  • Use document management software to store, retrieve, and archive project files efficiently.
  • Implement version control and ensure outdated documents are properly marked and archived.
  • Support the preparation of reports, logs, and document transmittals as required.
  • Assist in audits, compliance checks, and quality control processes related to document management.
  • Attend weekly Project Specific Meetings, prepare agenda prior to the meeting and distribute accordingly. Take Minutes during meetings and distribute as required.
  • Perform other duties as assigned

REQUIREMENTS
  • Associate's degree in business administration, Construction Management, or a related field, or equivalent combination of education and relevant experience
  • Prefer at least 2+ years' experience in document control, preferably within the construction industry
  • Proficiency in document management software (e.g., Autodesk, Aconex, Bluebeam, SharePoint)
  • Strong understanding of construction document workflows and industry standards.
  • Excellent organizational skills and attention to detail
  • Ability to handle multiple projects & tasks simultaneously and work in a fast-paced environment.
  • Strong communication skills and ability to collaborate with diverse teams
  • Proficiency in Microsoft Office Suite
  • Knowledge of construction terminology, contracts, and regulatory requirements is a plus
