Purpose:

Provide technical and non-technical support to all activities in respect to document control, document retention, and document reporting.

Competencies:

Responsibilities:

  • Maintain the master document management system ensuring accurate data entry, timely review, approval, checking, and release of project documentation.
  • Ensure project documentation/version control and accurate and timely distribution/transmission to project stakeholders.
  • Work with project team members to ensure records are complete, accurate, and compliant with project and company document creation, control, retention, and reporting requirements.
  • Maintain lists, logs, matrices, and tracking system related to documents and records.
  • Assist with management of change execution and status reporting.
  • Facilitate project job books development and turnover to clients.
  • Assist with project close-out activities.
  • Finalize the closeout of project records.
  • Participate in third-party and internal quality audits involving area of responsibility and assist with related corrective/preventative action planning and implementation.
  • Coordinate with and foster open lines of communication amongst all project team members.
  • Strive for continuous improvement across all areas of work.
  • Other duties as required.

  • Current Omega 365 document control software experience preferred.
  • Excellent communication skills – written and verbal.
  • High level of personal integrity, creativity, persistence, curiosity, and enthusiasm.
  • The candidate should be a self-starter, possess strong analytical skills, and enjoy working in a multi-disciplinary team environment.
  • Strong computer skills (MS Office).
  • Proficient in both written and spoken English.
