Document control is a systematic process used to manage, track, and organize documents within an organization. It ensures that important records, such as policies, procedures, and technical documents, are accurate, up-to-date, and accessible to authorized personnel. Document controllers play a key role in maintaining document integrity, version control, and compliance with industry standards or regulatory requirements. This process is essential in industries like construction, manufacturing, and pharmaceuticals to maintain quality and meet audit standards.

What are the key skills and qualifications needed to thrive as a document control specialist, and why are they important?

This position serves as the primary quality authority across all production and field operations, ensuring that every unit leaving the facility meets regulatory requirements, customer specifications, and Platinum’s internal standards for reliability, safety, and workmanship.

The Quality Manager oversees inspection and testing programs, manages documentation and record-keeping systems, and provides technical guidance on welding standards, NDE methods, pressure testing, and electrical/wiring compliance. The role requires a detail-oriented leader capable of working independently and collaborating across production, engineering, and customer-facing teams.

KEY RESPONSIBILITIES

Quality Management System (QMS)

  • Own and maintain Platinum Vapor Control’s ISO 9001:2015-aligned QMS documentation, procedures, and processes
  • Drive continuous improvement initiatives; identify gaps and implement corrective and preventive actions
  • Conduct and oversee internal audits; prepare for and coordinate external audits or customer assessments
  • Manage QMS document control, version tracking, and record retention in compliance with regulatory and customer requirements

Nonconformance Reports (NCRs) & Material Traceability

  • Initiate, track, and close Nonconformance Reports (NCRs); ensure root cause analysis and effective corrective actions are completed
  • Maintain full material traceability from receiving through final assembly, including mill certs, heat numbers, and material test reports (MTRs)
  • Manage supplier qualification records and incoming material inspection results

Inspections & Testing

  • Plan, perform, and document visual inspections of fabricated components, weldments, and assemblies per applicable codes and customer specs
  • Oversee and coordinate Non-Destructive Examination (NDE) activities including but not limited to:
  • Radiographic Testing (RT), Ultrasonic Testing (UT), Magnetic Particle Testing (MT), Liquid Penetrant Testing (PT)
  • Execute and document hydrostatic and pressure testing per ASME, API, and customer-specified test procedures
  • Conduct heat map development and thermal inspection reviews as required for fabrication quality verification
  • Be present for Pre-FAT testing and final inspections to verify unit performance against customer specifications prior to release

Welding Standards & Certifications

  • Administer and maintain welding procedure specifications (WPS), procedure qualification records (PQR), and welder performance qualification records (WPQR)
  • Ensure compliance with applicable welding standards (AWS D1.1, ASME Section IX, etc.)
  • Coordinate third-party welder certifications and testing; maintain up-to-date certification records
  • Perform or oversee weld visual inspections and NDE referencing acceptance criteria in applicable codes

API Compliance & Customer Specifications

  • Maintain working knowledge of applicable API standards (API 12J, API 614, API 618, API 11P, and others as relevant to VRU/emissions control equipment)
  • Review customer datasheets, purchase order requirements, and technical specifications; ensure production adherence from kickoff through final release
  • Serve as the primary QC point of contact for customer inspectors and third-party inspection agencies
  • Communicate any deviations or concessions to customers and leadership in a timely, documented manner

Wiring, Electrical & Panel Inspections

  • Perform pre-FAT and final inspections of electrical panels, instrumentation wiring, and control systems
  • Verify compliance with NEC, applicable area classification (Class I Div 1/2), and customer electrical specifications
  • Coordinate with production and engineering teams to document and resolve electrical punch list items prior to unit release

Job Book Completion & Record Keeping

  • Compile, review, and finalize job books (data books) for each unit, including all required QC documentation, test records, certifications, and as-built drawings
  • Ensure all quality records are complete, legible, and properly stored per QMS retention schedules
  • Maintain organized filing systems for inspection reports, NCRs, certifications, MTRs, and calibration records
  • Maintain torque specification documentation and torque logs for critical connections, ensuring proper values are recorded and traceable to applicable procedures
  • Support NetSuite ERP data entry and quality module maintenance as applicable

Vendor & Supplier Quality Audits

  • Conduct on-site visits to vendors and suppliers to verify that materials, components, and fabrication work meet Platinum Vapor Control’s quality standards and applicable specifications
  • Evaluate vendor quality processes, documentation practices, and adherence to purchase order requirements; document findings and issue corrective action requests as needed
  • Maintain vendor audit records and communicate results to management and procurement teams
  • Develop and maintain a vendor qualification and performance monitoring program to support approved supplier lists

Production Hold Points & Phase Inspections

  • Establish and enforce hold points at critical production stages, requiring documented quality sign-off before work may advance to the next phase
  • Define inspection criteria and acceptance standards for each hold point; ensure production personnel are trained on requirements and notification procedures
  • Conduct or delegate phase inspections (e.g., fit-up, weld completion, pressure test, electrical checkout) and document results in the unit job book
  • Coordinate with the Production Manager to integrate hold points into the production schedule without unnecessary delays; escalate non-conforming conditions before release
